Human Resources Administrative Assistant

Provides administrative and clerical support to the Human Resources Dept.
Answers incoming telephone calls and directs them to the appropriate individual
Open, sort, review and distribute mail, or other correspondence; prepare responses to routine inquiries
Type memos, reports, and meeting minutes, which may be confidential in nature; Maintains a high level of confidentiality
Data entry of performance evaluations, employee physicals and other receipts into HRIS system (Serenic Navigator)
Completes all required Criminal Background Checks including Authorized Driver Determinations utilizing the DMV system, as required for each program
Establish, maintain and revise record keeping and filing systems. Classify, sort and file correspondence, records and all other HR documentation
Responds to unemployment insurance claims by forwarding separation information to appropriate representative
Provides support with preparing personnel files and documentation for audits
Drafts employment verification letters and correspondence as requested.
Sets up appointments and generates employee ID Cards for staff.
Ensures an adequate inventory of all office supplies and places orders accordingly

Qualifications - External Minimum of two years working in a general office environment HS Diploma/GED required, Bachelor’s Degree preferred Strong computer skills, including all Microsoft Office programs (Word, Excel, Outlook, Access and PowerPoint) Previous experience working with Oracle, Serenic Navigator, or a similar HRIS system preferred; prior experience utilizing an applicant tracking system, such as Taleo, is also an asset Must display a pleasant and professional telephone demeanor; good written and verbal communication skills Some knowledge of Human Resources or the Social Services is preferred III. Have a strong sensitivity to cultural differences present among staff and clients within our organization; possess a strong belief in people’s ability to grow and change. Ability to set limits and maintain a helping role. IV. WORKING CONDITIONS Office Environment Monday - Friday Some travel other HR offices, program locations and/or agency events may be necessary at times.
