Covia is looking for a dynamic Human Resources Administrator who will have a positive impact on the Human Resources team at its Ottawa, IL location.  The Human Resources Administrator aids with and facilitates the human resource processes at all business locations. This position will provide administrative support to the human resources team, including electronic employee record keeping, file management, and HRIS maintenance. The Human Resources Administrator will also serve as the primary back up to Covia’s salaried and hourly payroll processing for the United States and Canada.

 

The successful incumbent will have the following Key Accountabilities:

 

 

Handles employment related inquiries from applicants, employees, and supervisors, referring complex and/or sensitive matters to the appropriate staff. Serves as the primary back up to Covia’s salary and hourly payroll processing. Maintains accurate and up-to-date human resource files, records, and documentation via UKG. Enters, maintains, and/or processes information in the payroll system; information may include hourly rates, salaries, commissions, bonuses or other compensation, time worked, paid leave and holidays, deductions and withholding, and other information. Assists with recruiting process, i.e. background checks, setup of pre-employment drug screens and physicals. Conducts or assists with new hire onboarding. Enters and processes employee data in HRIS, i.e., new hires, employee changes, address, promotions, terminations, retirements, and transfers. Conducts or assists with record audits and mandatory reports, which may include EEO-1 filings, Affirmative Action Plans and other compliance related processes. Maintains compliance with federal, state, and local employment laws and regulation, and recommended best practices; reviews policies, practices and location postings to maintain compliance. Provides timely assistance with human resources and payroll related inquiries. Processes weekly HR related invoices/bills. Provides written and verbal employment verifications and processes unemployment claims. Other duties as assigned.

 

The successful incumbent will have the following Minimum Qualifications:

Bachelor’s degree in human resources or related field and/or equivalent experience preferred 1-3 years experience in HR/Payroll Thorough knowledge of employment-related laws and regulations Ability to act with integrity, professionalism, and confidentiality Excellent oral and written communication Time management skills and ability to work independently as well as on a team Familiarity with HRIS systems, UKG experience preferred Proficient in Microsoft Office
