Human Resources Generalist

 Position Summary

The Human Resources Representative is responsible for assisting with the daily management of HR activities including employee relations, overseeing records, generating reports and compliance. 

Essential Duties

Assists with maintaining employee records, ensuring completion and accuracy of details such as employee contact information, job classification, pay rates, organizational structure, and other key details. Performs administrative and recordkeeping tasks related to staffing changes, which may include layoffs, resignations, terminations, and extended leaves of absence.Reviews, tracks, and documents compliance with mandatory and non-mandatory training, continuing education, and work assessments. This may include safety training, anti-harassment training, professional licensure, and aptitude exams and certifications.Conducts or assists with record audits and mandatory reports, which may include I-9 audits, EEO-1 filings, audits, and other compliance reviews.Conducts or acquires background checks and employee eligibility verifications.Coordinates and supports company-wide information meetings such as open enrollment, new hire orientation, training and other related items.Assist with recruiting, interviewing and hiring of qualified job applicants for open positions; collaborates with departmental managers to understand skills and competencies required for openings.Handles employment related inquiries from applicants, employees and supervisors.Provide support for employee disciplinary meetings, terminations and investigations.Assist with annual Employee Engagement & Performance Evaluation cycles.Maintain compliance with federal, state, and local employment laws and regulations, and recommended best practices, reviews policies and practices to maintain compliance; ensure changes necessary to achieve compliance, and serve as liaison with government agencies. Ensure compliance with governmental agencies, particularly by supporting programs associated with Department of Transportation, including but not limited to PARS, FMCSA Clearing House and Random Drug Testing compliance. Performs other duties as assigned.Ability to travel to various company locations as needed.

Working Relationships

The HR Representative reports directly to the Director of Human Resources. This position is required to work closely and collaboratively with other HR team members, employees, managers and other internal parties such as payroll and safety.

Excellent communication skills including ability to establish rapport and build consensus with all levels and categories of employeesProactive and independent with the ability to take initiative A high level of detail is needed to ensure compliant hiring standards are met, and that all regulations are adhered to Excellent time management skills with a proven ability to meet deadlinesFamiliarity with laws, regulations, and best practices applicable to hiring and recruitmentProficient with or the ability to quickly learn software and other recruitment/HR SystemsProficient with Microsoft Office Suite and/or related software Ability to maintain confidentiality Strong influencing skills and demonstrated ability to quickly establish rapport, build credibility and create partnerships at all levels within the company

Education Requirements

Associates Degree in Human Resources or other related field; Bachelor’s Degree preferred, or equivalent practical work experience requiredPHR, SHRM-CP desired

Experience Requirements

At least 2-3 years of progressively responsible human resources experience.  Experience with Human Resources within the transportation industry a plus

Physical Demands

Work is performed in a general office environment with limited noise exposure. Occasional exposure to outdoor elements (temperature, dust) found within a warehouse/school bus terminal environment.  The majority of time is spent seated at a work station with access to telephone, computer, printer, and files.  Requires frequent verbal communication either in person or by telephone to interact with candidates, employees, and recruiting partners. Requires ability to occasionally lift up to ten pounds when handling files and binders. Duties entail some visual strain resulting from close detail and frequent computer work. Regular local travel to other school bus locations, community partners, job fairs, etc.

Mental Demands

Work entails above average mental demands.  Duties involve handling multiple priorities. Duties involve adherence to strict time deadlines. Some duties are highly stressful such as dealing with difficult employees or candidates and conflicting, changing priorities. Must be able to maintain strict confidentiality and diplomacy.
