Human Resources Representative

POSITION SUMMARY The Human Resources Representative (HR Representative / HR Rep) Serves as initial contact for inquiries into Human Resources (HR) processes, company policies and programs, HR systems support. The HR Representative delivers tier one employee support on various HR subject matters. The individual responds to employee inquiries and management requests, identifies issues and escalates as appropriate. The HR Representative provides technical, transactional, communication and systems support to all employees. The HR Representative monitors cases in ServiceNow, responds to live chat, answers phone calls, and, as needed, distributes action items to team members while providing accurate, reliable, and timely response to internal and external customers. This position is responsible for performing the duties with minimal supervision and a high degree of accuracy to ensure the consistent delivery of an exceptional employee experience. Responsibilities Handle and coordinate transactions that are part of all aspects of the employee life-cycle such as pre-boarding, leave of absence, terminations, and status changes Address a wide range of employee questions in a timely and complete manner Supports data entry and retrieval via preparing and running reports from various HR systems. Responsible for new employee pre-boarding by monitoring completion of required documentation and processes and contacting new hire throughout pre-boarding process onboarding including conducting New Hire Orientation, processing new hire paperwork, background checks and I9s; Acts as first line of support for all inquiries from employees and managers by providing guidance on multi-state laws, regulatory requirements and compliance rules and ensure all processes are executed in accordance with government regulations (application of Federal, state and local labor laws); Process tuition reimbursement and referral bonus requests Gather and maintain an accurate record of all employee details Address employee queries on payroll and benefits and directing employee to appropriate resources Assists in planning and organizing recruitment, retention, and engagement activities Monitors compliance for new hires completing required training by running reports and distributing results appropriately Support surveying employees by launching surveys, monitoring completion, and running reports Serve as a point person to troubleshoot employee system access issues Qualifications Education & Experience: HS diploma required; Associates Degree or Equivalent Experience preferred 2 years customer service experience At least one year experience in an HR function would be beneficial Proficient with various HR technology and MS Office software. Data entry and retention with HR and process documentation and reporting experience preferred Prior HR Shared Services experience and/or call center background helpful Knowledge, Skills & Abilities: Actively looks for process improvements Demonstrated ability to prepare reports and support management in information gathering needs Strong interpersonal and customer service skills Ability to work well and collaborate with remote team members Strong verbal and written communication skills; demonstrated ability to communicate effectively with peers, management, and employees Strong organizational and time management skills Resourceful and organizationally savvy Excellent listening and problem-solving Ability to handle stressful situations and work independently Comfortable working in a fast paced, constantly evolving, team environment Discreet in handling confidential/sensitive information Maintain confidentiality of department and employee information according to established practices
