Other duties and responsibilities may be assigned. · Conduct pre-employment vetting, to including but not limited to initiating background checks, drug screens, TB and/or medical testing, drug screening, fingerprinting, reference checks, state background checks and sexual offender registry checks license verification. · Maintain and manage the HRIS system (enter new hires, terminate, status changes, etc.) · Conducts audits of payroll, benefits, or other HR programs and recommends corrective action; and runs HR reports as needed. · Answer frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refer more complex questions to appropriate senior-level HR staff or management. · Assists with recruitment and interview process. Tracks the status of candidates in HRIS and responds with follow-up letters at the end of the recruiting process. · Work with the HR Recruiter/Manager to assist with any OFCCP Reporting and AAP Reporting or other activities to ensure compliance. · Onboard interns and volunteers, ensure appropriate school affiliation agreement is on file(interns), process background vetting, schedule drug screening, etc. · Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately. · Assists with the preparation of the performance review process. · Ensure that all positions requiring driving have licenses and current insurance verified. · Maintain electronic file documentation according to a specified naming convention to ensure all documents are easily located and identified in the event of an audit. · Makes photocopies, emails, scans, and email documents; and performs other clerical functions. · Send out “Employee Handbook” as well as new hire documents for signature and ensure they are correctly signed, returned, and e-Filed. · Submit payment for services utilized during the onboarding process (i.e. for drug screening, background checks, etc.) · Be available to assist either a Program Director and/or member of the HR Team in the event of either a planned audit or spot audit and successfully interface with the auditor. · Assist with New Hire Orientation as needed. · Complete Forms I-9 verifies I-9 documentation and maintains I-9 files. · Performs other related duties as assigned **Qualifications** COMPETENCIES · Business Acumen · Ethical Practices · Consultation · Relationship Management · Emotional Intelligence · Global and Cultural Awareness · Critical Evaluation · Problem-Solving · Decision Making · Communication · Organization · Time Management · Customer Service REQUIRED EDUCATION · Bachelor’s Degree (Required) LICENSES/CERTIFICATIONS · PHR/SHRM-CP (Preferred) REQUIRED EXPERIENCE · Minimum of 2 years working as an HR Specialist, Administrator, or Onboarding Coordinator. · Familiarity with Federal, State, and Program-specific hiring requirements. · Familiarity with PAYCOM or other HRIS · Intermediate to High level of competency using Microsoft Windows and Office (Word, Excel, and Access) WORK ENVIRONMENT · This job operates in a hybrid role with expected travel to a Phoenix House location as needed. This role routinely uses standard office equipment such as computers, phones, and photocopiers.
