SWBC is seeking a talented individual to serve as the main point of contact and administrator for all new hires through all stages of the onboarding process. Performs tracking and approval of all employee administrative and compensation job changes. Performs system data hygiene and maintenance in Workday and in Shared Drives. Creates and maintains Operations Team practices and procedures. Ensures compliance with legal deadlines for Form I-9 processing. Additionally, manages the Employee Referral Program and oversees the employment visa process.
Essential duties include the following:
Facilitates the New Hire Onboarding process including calling and emailing new employees, system navigation assistance, providing new employees with important information pertaining to onboarding and employee information, responding to inquiries, and preparing supplies for orientation events. Oversees and coordinates the completion of all onboarding tasks. Serves as Operations Team subject matter expert in onboarding procedures.Processes employment authorization utilizing E-Verify for all new and existing employees within legal deadlines, including following up with employees for updated documents and ensuring compliance with legal deadlines. Partners with Legal Counsel as needed.Performs data hygiene maintenance and ensures information is up-to-date. Responds to requests to update employee information. Occasionally replies to audit requests.Tracks and approves hires, terminations, transfers, data changes, job changes, and compensation changes. Works with payroll to validate pay-impacting changes to ensure payroll accuracy. Serves as a liaison providing assistance at all levels addressing HR issues related to job changes in Workday and day-to-day operations.Resets passwords for current and terminated employees.Plans, monitors, and manages team projects to improve Operations procedures and practices for a better new hire experience and more efficient workflow.Serves as part of a team to establish procedures for electronic filing and files employee-related documents accordingly.Assists with background checks for new hires.Provides support to Talent Acquisition team, including reviews resumes/applications interview applicants to obtain work history, education, training, job skills, and salary requirements, and support with hiring events.Creates and maintains continuity guides for the Operations Team.Manages the Employee Referral Program, including tracking referrals, and ensuring timely communication and rewards for successful referrals.Oversees the employment Visa process, including coordinating with employees and legal counsel to ensure timely submission of visa documents, tracking visa statuses, and ensuring compliance with all relevant regulations.Performs all other duties as assigned.Serious candidates will possess the minimum qualifications:
Bachelor’s degree in Human Resources, Business Administration, or a related field of study from an accredited four-year college or university preferred.Minimum of four (4) years of experience in human resources operations or office administrative role required.Excellent listening skills.Excellent organization skills.Strong multi-tasking skills.Excellent verbal and written communications.Working knowledge of Workday.Strong problem resolution skills.Advanced working knowledge of Microsoft Office programs.Able to sit for long periods of time performing sedentary activities.SWBC offers*:
