Human Resources Trainee (Internship)

Role purpose: 

We are seeking a motivated HR Intern to join our team. As an HR Intern, you will assist in various aspects of human resources operations and gain practical experience in the field. This internship will provide an opportunity to develop your skills, understand HR processes, and contribute to the overall success of our organization.

 

Main functions: 

Human Resources Support:

Support the HR team with operational tasks and collaborate on HR initiatives to ensure timely completion and compliance with policies. Learn and use the Global HR system (MyHR – Oracle Human Capital Management) to manage Time Tracking and vacation requests, including responding to related questions. Build updated user guides. Generate reports and manage any issues related to MyHR, collaborating with team members as needed Achieve a good handling of our Human Resources Portal (Service Now) to respond to the cases opened by employees or their reassignment to another HR member across the European region as appropriate. Helping to update HR policies and procedures and providing information to employees about benefits and company policies. Assist in the launch of wellbeing programs

Employee Onboarding:

Helping to prepare onboarding materials, organizing induction sessions for new hires, and ensuring that new employees complete necessary paperwork.  Coordinate with Facilities and IT departments to ensure proper setup for new employees (including sending relevant communications and managing IT requests). Send employment contracts, and ensure all documents are signed and properly filed. Monitor and review the Weekly EMEA Pending Workers Report for updates on new hires, comparing it with the information from offer letters.

3. Organizational Updates:

Regularly maintain and update organizational charts to accurately reflect changes within the company structure on a monthly basis. Review and verify that all employee-related changes, such as salary adjustments and departures from the company, are properly recorded in MyHR. Prepare monthly presentations to communicate new joiners and role changes / promotions. 

Employee Offboarding:

Facilitate the offboarding process by sending necessary internal communications regarding employee departures.

Employee records management: 

Assisting with the maintenance of employee files, updating databases and ensuring that documents are organized and compliant with legal standards.

Required Skills:

Currently pursuing a degree in Human Resources, Employment Relations or a related field.Basic understanding of HR policies and payroll processes is preferred.Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).Excellent attention to detail with strong organizational skills.Ability to handle sensitive and confidential information with discretion.Strong written and verbal communication skills in both Spanish and English.Willingness to learn and adapt to changing HR technologies and processes.Able to embrace Chubb’s Values: Integrity, Respect, Excellence, Customer Focus and Teamwork. 

Conditions:

Internship duration: 6 months.Work hours: 5 days a week from 09:00 to 14:00 at our Manoteras office (Avenida de Manoteras, 12, 28050 Madrid).
