HVAC Service Dispatcher
We are seeking a reliable and organized HVAC Service Dispatcher to join our team. The HVAC Service Dispatcher will be responsible for scheduling service calls, dispatching HVAC technicians, managing customer service inquiries, and ensuring efficient routing for service appointments. The ideal candidate will possess strong communication skills, attention to detail, and a customer-first attitude, ensuring that service operations run smoothly and effectively. **Key Responsibilities:** + **Schedule Appointments:** Coordinate and schedule HVAC service calls based on customer requests, technician availability, and urgency of the job. + **Dispatch Technicians:** Assign HVAC technicians to service calls, ensuring optimal routing and efficient use of resources. + **Customer Communication:** Communicate with customers regarding service appointments, including confirmations, delays, or changes to scheduled visits. + **Work Order Management:** Maintain and track work orders, ensuring all necessary information is provided for technicians to complete their tasks efficiently. + **Record Keeping:** Update and maintain accurate service records, including job details, technician notes, and customer feedback. + **Inventory Management:** Track parts and equipment used in service calls and communicate inventory needs to the management team. + **Problem Solving:** Address customer complaints, reschedule appointments as needed, and work to resolve any scheduling issues or service delays. + **Team Collaboration:** Work closely with HVAC technicians, service managers, and customer service teams to ensure smooth operations. + **Maintain Service Levels:** Ensure that service is provided in a timely and efficient manner, meeting or exceeding company standards. **Qualifications:** + High school diploma or equivalent; additional relevant certifications or training preferred. + Proven experience in dispatching, customer service, or a related field, preferably in the HVAC industry. + Strong communication and interpersonal skills, with the ability to manage multiple tasks and prioritize effectively. + Ability to work in a fast-paced environment and stay organized under pressure. + Familiarity with HVAC systems, service software, and basic troubleshooting is a plus. + Proficient in Microsoft Office Suite (Word, Excel, Outlook) or similar software. + Valid driver's license (if required for any travel between locations). **Preferred Skills:** + Previous experience with HVAC service management software. + Knowledge of HVAC operations and terminology. + Ability to resolve customer issues efficiently and professionally. **Work Environment:** + Office-based position with occasional interaction with field technicians and customers. + Fast-paced, team-oriented environment. **Physical Requirements:** + Ability to sit at a desk or workstation for extended periods. + May need to lift up to 25 lbs in certain situations (e.g., office supplies, files). **Compensation:** + Competitive salary based on experience. + Benefits package (healthcare, paid time off, etc.) + Opportunity for advancement within the company.
