The University of Washington’s Information School is seeking a **Program Coordinator(NE S SEIU 925 Non Supv) for Inclusion, Diversity, Equity, Access, and Sovereignty (IDEAS)** to join our academic institution. Reporting to the IDEAS Program Manager, the IDEAS Program Coordinator plays a critical role in supporting the implementation and coordination of various IDEAS initiatives within a complex and dynamic academic college. They assist in the administration and program development, event planning, stakeholder engagement, and data management to promote diversity, equity, and inclusion across the organization. In the iSchool, there is an expectation that all faculty and staff will step up where they see an opportunity to apply their special expertise or talents, speak up when they identify opportunities or concerns, and lead by taking actions that exemplify the iSchool’s core values. Leadership within the iSchool is expressed in diverse ways reflecting the variety of styles and cultures that are represented by our faculty and staff. **DUTIES AND RESPONSIBILITIES** Administrative Coordination + Provide wide and varied administrative and organizational support for the office of IDEAS, inclusive of planning and execution of events and project-related activities. + Organize meetings, including logistics, prep materials, meeting minutes and required follow-up. + Prepare reports and compose correspondence, acknowledgments, and notifications. + Handle sensitive personnel information and content with discretion and professionalism. + Work with IDEAS leadership to act as a thought partner to manage overall needs for meeting requests that align with priorities in the office of IDEAS.Stakeholder Engagement and Outreach + Work with team members and partners to organize DEI events such as workshops, receptions, and other group and collaborative activities. + Assist in building and maintaining relationships with internal and external stakeholders, including faculty, staff, students, and community partners, to support DEI efforts. + Prepare event invitations and track RSVPs. + Prepare evaluation criteria and assess the impact of events and activities. + Locate, evaluate and reserve event spaces that are fully accessible. + Identify, evaluate and make contract arrangements.Communication, Data Management, and Reporting + Support the collection, analysis, and maintenance of data related to diversity metrics and program outcomes. + Assist in the preparation, compilation and coordination of reports and records. + Prepare regular reports and presentations on IDEAS program activities and progress for internal and external stakeholders. + Collaborate with the IDEAS Program Manager to develop communication materials, including newsletters and website content, to promote DEI initiatives. + Serve as a point of contact for inquiries related to IDEAS programs and events, providing information and assistance to stakeholders as needed. + Assist in budget management and tracking expenses related to activities in the office of IDEAS submit regular reports and related documentation in a timely and professional manner. + Stay current with trends in higher education scholarship administration, attending conferences and workshops to enhance expertise in scholarship management and student financial support. + With an emphasis on continuous improvement, create processes that evolve to continue to meet campus and student needs.Other + Attend and participate in All School, Staff meetings, committees, iSchool events and other activities as needed. + Participate in professional development opportunities to expand the knowledge base for the position. + Perform related duties as required. **MINIMUM REQUIREMENTS** + High school graduation or equivalent AND two years of experience in administrative and operations responsibilities in the diversity, equity, and inclusion field. + OR equivalent education/experience. **ADDITIONAL REQUIREMENTS** + Proficiency in the use of Microsoft Suite, Zoom, Adobe Acrobat, Asana, or other project management and productivity. + Experience managing multiple projects/tasks and keeping pace with rapidly changing priorities and deadlines. + Excellent communication skills and customer service ethic, including writing and verbal skills. + Demonstrated expertise in following administrative procedures and compliance requirements. + Meticulous organizational skills; attention to accuracy, detail and thoroughness in completing assigned duties and responsibilities. + Ability to approach work with an equity lens and willingness to examine and make recommendations for process improvements. + Demonstrated experience working in diverse populations. + Proven track record in administrative and operations responsibilities. + Event management experience. + Creative problem solving in a complicated and continuously changing environment. + Deep familiarity with calendaring software solutions, office related software, and communication tools. **DESIRED QUALIFICATIONS** + An appreciation for the development of new knowledge with positive societal and medical impact. **What’s in it for you:** + Full benefits, including medical and dental insurance and retirement plan. + Paid vacation and sick leave, as well as 11 paid holidays a year and one personal day. + Fully subsidized transit pass. + Work for an exciting, cutting-edge research school within the University of Washington.
