Job Summary
The Immigration & Mobility Associate plays a crucial role in supporting the Immigration & Mobility Manager in managing global immigration and mobility processes throughout the organization. This position involves coordinating visas, work permits, and citizenship for employees worldwide, ensuring compliance with international regulations, and assisting with various administrative and operational tasks related to global mobility.
Duties & Responsibilities
Learn and apply skills necessary for obtaining visas, work permits and citizenship for employees across various regions. Assist in updating internal documentation related to global mobility and immigration. Under supervision, collaborate with internal teams and external vendor/partners to manage immigration processes. Coordinate, track, and audit all visas and required documentation to ensure compliance including renewals, audits, and handling sensitive employee terminations. Ongoing collaboration with key internal partners - payroll, finance, HR, legal, and business partners Support the Immigration Manager in maintaining employee public access files, I-9 documentation, and addressing visa related hiring questions. Assist in creating a comprehensive library of assignment letters, support letters for travel, visa-related documents, and consulate letters. Ability to create Power Point presentations for internal and external stakeholders as needed. Processing invoices through CounselLink and GCS Invoice submissions portal, as providing support with ELM tool. Responsible for end-to-end execution of mobility cases with a focus on intra-company short term assignments. Collaborate closely with tax advisors to identify and employee manage tax implications. Draft agreements and contracts for secondees, ensuring legal compliance in both home and host countries. Conduct audits and maintain employee database/trackers to ensure adherence to legislative requirements. Create and update Standard Operating Procedures (SOPs) to enhance efficiency and streamline processes. Identity solutions for non-standard cases and share best practices with the team. Continuously develop specific knowledge related to mobility topics, including visas, social security, and tax implications. Prepare and provide support with PERM and H1-B Visa Applications for employees, with a focus on U.S. Immigration. Assist with processing business visas for internal leadership as needed. Ensure compliance with country-specific legislative requirements for digital nomads and business travelers.Required Qualifications:
Bachelor’s degree or equivalent experience. Ability to manage sensitive and confidential employee information with discretion Quick learner with a strong interest in global immigration and global mobility issues Strong operational and analytical aptitude Attention to detail Ability to organize and analyze data, including presentation materials and communications Excellent verbal and written communication skills Excellent interpersonal skills with the ability to build collaborative relationshipsPreferred Qualifications:
2 to 3 years in HR with Global Mobility and US Immigration experience preferred Ability to adapt communication style and delivery of services in a highly matrixed environment Proficiency in Excel and OneNote for Windows 10 experience, Power Point, SharePoint Familiarity with HRIS systems and vendor systems, or willingness to learn
