Import & Export Specialist

About the Role


The Import & Export Specialist plays a key role in managing the entire import and export process, ensuring that all necessary materials and goods are delivered on time and in full. This involves coordinating with multiple internal departments (including logistics, sourcing, and finance) as well as external parties (such as brokers, suppliers, and transporters). The specialist is responsible for managing import/export documentation, ensuring compliance with local and international regulations, and optimizing transportation costs. The incumbent is expected to have strong knowledge of import/export operations, logistics, and supply chain management. The role requires excellent communication and organizational skills to coordinate across departments and with external stakeholders. The ideal candidate will demonstrate a proactive approach in resolving challenges and ensuring smooth, efficient supply chain operations.

 

Key Responsibilities Include

 

Develop and implement import/export procedures to streamline operations and ensure compliance with regulations. Coordinate and optimize import/export logistics flows, ensuring materials are delivered on time and cost-effectively. Work with the purchasing team to ensure contracts are available in SAP and Sage and communicated to relevant stakeholders. Prepare and manage all necessary import/export documentation, ensuring accuracy and compliance with regulations. Maintain strong relationships with customs brokers and third-party service providers to ensure smooth clearance and delivery. Organize and manage transport logistics for imports and exports, ensuring efficient and cost-effective routes and schedules. Optimize transport costs while ensuring the timely and safe delivery of goods. Manage the Purchase Orders in Sage, track Goods Receipts  in both bonded and external warehouses, and process invoices. Provide support to customer care teams regarding transport organization for imported cocoa customers (semi-finished goods).

 

About You

 

Bachelor’s Degree in Management Science, Trade, Logistics, Supply Chain, or related fields. Minimum 5 years of experience in import/export operations, logistics, or supply chain management (preferably in the food industry). Proficiency in MS Office and Sage. Strong understanding of import/export documentation, regulatory compliance, and logistics coordination. Proficiency in Business English (both written and verbal). Strong analytical skills to track and optimize transport and logistics costs. Excellent communication skills to collaborate effectively with internal teams and external partners. Excellent organizational skills and attention to detail. Ability to work under pressure and manage multiple tasks efficiently. Strong problem-solving skills and proactive approach in addressing challenges.
