Position Summary

The Inpatient Unit (IPU) Team Coordinator is responsible for modeling the Compassus values of Compassion, Integrity, Excellence, Teamwork, and Innovation and for promoting the Compassus philosophy, using the 6 Pillars of Success as the foundation. S/he is responsible for upholding the Code of Ethical Conduct and for promoting positive working relationships within the company, among all departments, and all external stakeholders. The IPU Team Coordinator is the greeting receptionist for the Inpatient Unit providing superior service to patients and their families as well as to outside guests. Administrative responsibilities include managing the phone system overall, answering and directing incoming calls, entering data, and producing letters and other correspondence. S/he is also responsible for supporting and backing up all administrative team members such as the Business Office Coordinator and other Team Coordinators in the program and as such will perform various duties such as, time and travel entry procedures for team members, billing procedures, and ordering of supplies for the program and the Inpatient Unit.


Position Specific Responsibilities

Attends and participates in staff meetings, as requested.Communicates identified needs and potential solutions to supervisor.Greets and directs visitors to IPU.Handles telephone/technology communications and maintains a current list of team meber's cell phone numbers.Answers incoming telephone calls and transfers calls to appropriate individuals and transfers phone to secondary system as appropriate.Trains team members on phone system, programs extension number changes into phone system, and maintains and distributes extension, speed dial, scanning, and email distribution lists.Works with on-call service to receive daily on-call logs and validate accuracy for Director of Clinical Services, as appropriate.Facilitates intra-office communications.Produces and distributes monthly calendars.Updates directories on all referral sources, e.g., nursing homes, hospitals.Receives, sorts, and routes all mail.Ensures that all required corporate and program communications are posted in the proper area.Assists other members of the administrative team.Enters data to complete the Daily “Time and Travel Report” process.Performs miscellaneous data entry as required by various departments, including entries into Patient Tracking system.Works with Admissions Coordinator processing referrals and admissions in the system.Works with Team Coordinator to assist with patient filing, and cross-trains on other Team Coordinator functions.Works with Business Office Coordinator to coordinate the processing of all applicants and new hires, including badges.Audits inventory of the IPU homecare and office supplies and orders new supplies as needed.Performs other duties as assigned.


Education and/or Experience

High school diploma or GED required.Associate or Bachelor's degree preferred.Experience in multi-line telephone systems, word processing, and other office equipment required.Three (3) to five (5) years of experience in administrative support highly preferred. An equivalent combination of education and experience will be considered.


Skills

Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percentage.Language Skills: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from leaders, team members, investors, and external parties. Strong written and verbal communications.Other Skills and Abilities: Ability to understand, read, write, and speak English. Articulates and embraces integrated healthcare at home philosophy. High integrity, including maintenance of confidential information such as patient records. Must be able to travel between locations. Ability to multi-task in a fast-paced environment. Strong customer service, organizational, and interpersonal skills


Physical Demands and Work Environment: The demands of this role necessitate a team member to effectively perform essential functions. Adaptations can be made to accommodate team members with disabilities. Regular standing, walking, and manual dexterity are fundamental, along with the ability to lift and move objects up to 25 pounds. Visual acuity requirements include close and distance vision, color and peripheral vision, depth perception, and the ability to adjust focus.
