Insomniac - Shuttle Operations Manager

THE ROLE Insomniac Events is seeking a highly skilled Shuttle Operations Manager to oversee on-site shuttle operations with either internal or external third-party vendors. The ideal candidate will possess skills with administration and site operations pertaining to event shuttle logistics. This position reports directly to the Exterior Ops Director. RESPONSIBILITIES Planning and Administration + Create and oversee Shuttle operations for any short or long distance shuttle programs (Attendee or Staff). Shuttles may be for necessity, revenue generating, or enhancement to the overall attendee or staff experience. + Oversee any additional staff or contractors to manage on-site Shuttle Ops with either internal or third party vendors depending on the show + Coordinate with the exterior operations director, producers, and project Managers in developing, advancing, and constructing all infrastructure and safety equipment needed to execute a safe and efficient shuttle program. + Work to determine routing or location(s) for a successful shuttle program, including procurement negotiations with 3rd party properties when necessary. + Work with internal producer and management teams to recommend and advise on price scaling for any revenue generating program. + Manage budget for area of responsibility and report forecasting to Producer and Exterior Operations Director + Procure, negotiate, and contract vendors and contractors involved in singular or multi-event deals related to the shuttle program(s) of an event(s). Procure Shuttle buses and Pick Up/Drop Off location deals, when applicable + Advance all items specific to the exterior operation and team, including travel, accommodations + Submit shuttle operations Pre, During, and Post event CAD map updates for Exterior Operations director review. + Schedule regular meetings to review and plan with necessary internal and external teams and Ext Ops lead + Coordinate with festival ticketing staff on projected sales to predict ridership and estimate appropriate bus inventory + Coordinate with security and customer service departments for ingress and egress staffing needs to support the operation + Create a staffing deployment schedule for shuttle staff, security, traffic management, and any other department needed to support the operation + Bus check in and driver training process— disseminate shuttle route maps and ride the route with every bus driver in park & ride scenarios. Manage check in and credentialing process for paid partons + Submit Payroll for all temporary employees within the exterior team as needed + Build recap decks to share with Exterior Operations Director and Festival Producers that includes: + Hourly ridership metrics + Bus tracking + Program notes On Site + Lead the shuttle ops team in a successful implementation of the plan and actively adjust as needed in real time + Oversee the deployment of all onsite assets (rented or owned), as it relates to the exterior footprint + Monitor buses throughout event including: + Development and implementation of a check-in system for buses in order to understand & track how many buses are in circulation during the event hours + Confirm all drivers are accounted for and have proper credentials through the check-in process + Maintain all bus paths of travel, program infrastructure, and safety equipment during the event to establish a fluid and safe flow of buses + Monitor traffic along shuttle routes & notify project manager if there are any incidents that may cause delays properly staging buses before, during, and after the event + Monitor and work closely with Shuttle Provider on the on-site Shuttle plan + Attend production meetings and mid show briefings + Other special projects, tasks and ad hoc assignments as needed + Some frequent travel will be required (economy) QUALIFICATIONS + Bachelor's Degree or equivalent work experience working with a team + Familiar with Back of House software + Proficient in budgeting, reconciling and analyzing event operations excel spreadsheets WORK ENVIRONMENT + Must be able to tolerate loud noise levels & busy environments + May work in drastic temperature climates + Must be willing to travel to work events during holidays, evening and weekend hours, as required, to meet deadlines Applicants for employment in the U.S. must possess work authorization, which does not require sponsorship by Insomniac for a visa.
