Description
Position Summary:
Responsible for effective ongoing operation of the Intake Department. Ensures all operations adhere to the mission and vision of (agency). Provides direct supervision of department staff. Coordinates with other departments to ensure efficiency in practices. Compile and provide reports on department functions.
Essential Job Functions:
+ Hiring, training, and evaluation of Intake and Placement staff.
+ Establish and maintain Intake and Placement department policy and procedure in alignment with (agency) guidelines and goals.
+ Continuous analyzation, evaluation, and adaptation of department policy and procedure to ensure efficiency and effectiveness of current practices.
+ Direct supervision of department staff to include one on one supervision sessions, ongoing coaching and support, regular department meetings, and providing opportunities for ongoing education and growth.
+ Ensure staff are responding promptly to the Intake line, meeting required deadlines, documenting accurately and in a timely manner, and always maintaining a professional demeanor.
+ Monitor flow of new cases being received and ensuring distribution consistent with agency policy and procedure.
+ Monitor flow of placement changes and placement challenges ensuring that administrative/management team is informed of any ongoing issues.
+ Keep administrative/management team appraised of incoming cases and placement challenges including escalation of issues of concern or special needs to upper management as appropriate.
+ Collaborate with other departments/units to coordinate 24/7 Intake line coverage.
+ Ongoing open communication with case management team to ensure case assignment needs are being met.
+ Establish and maintain effective working relationships with community stakeholders including full case management and prevention agencies, Citrus FCN, DCF, and other providers in the community.
+ Act as a backup to Intake and Placement Specialist if/when needed.
+ Compile monthly reports on department functions. Distribute and present them to the administrative/management team.
+ Ensure case management team receives appropriate information needed for accepting case and/or case transfer staffing
+ Participate in case transfer staffing or case transfer processes as needed
+ Ensure coordinate and collaboration between Intake and Placement staff
+ Participate in all required management and administrative meetings.
+ Conduct all job functions of an Intake and Placement Specialist as needed.
Qualifications
Essential Qualifications:
Certifications/Licensures:
+ Child Welfare Certification preferred. Preference will be given to those candidates who are currently Certified
Education:
+ Bachelor's Degree required from an accredited college or university in a human service-related degree and minimum five (5) years’ experience of child protective services and/or dependency case management Intake or Quality Assurance/Improvement supervision or management.
+ Master’s degreeis preferredfrom an accredited college or university in a human service-related degree and minimum three (3) years’ experience of child protective services and/or dependency case management Intake or Quality Assurance/Improvement supervision or management.
Experience and Competencies:
+ Bilingual is preferred
+ Valid Florida driver’s license required
+ Physical required prior to hire; paid by agency
+ Expertise with the Florida Child Welfare Practice Model and knowledgeable in Child Welfare electronic system of record (FSFN or CCWIS).
+ Possess strong leadership, communication, problem-solving, and decision-making skills.
+ Availability to work a flexible schedule as required by the department, including nights and weekends.
+ Possess a current Background Clearance Screening Letter as required by DCF.
+ Must have advanced knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software, including Word, Excel, and other MS Office products.

Physical Demands:
+ Requires mobility and physical activity: Having an adequate range of body motion and mobility to work in an office, residential, or outdoor environment including standing and walking (even and uneven surfaces), sitting for extended periods of time, bending, twisting, reaching, balancing, occasional lifting and carrying of up to 50 pounds. Use of computer and telephone systems is required which includes coordination of eye and hand, and fine manipulation by the hands (typing, writing, and working with files). Requires the ability to defend oneself and clients in physically abusive situations through the use of approved physical de-escalation techniques.
+ Requires talking: Expressing or exchanging ideas by means of the spoken word. Talking is required to impart oral information to employees, clients, patients, and the public, and in those activities in which the employee is required to convey detailed or important spoken instructions to others accurately, loudly, or quickly.
+ Requires hearing: Hearing is required to receive and communicate detailed information through oral communication.
+ Requires seeing: Clarity of vision at 20 inches or less and at distance. This factor is required to complete paperwork for many of the employee’s essential job functions and to observe client behavior and activities in and out of the facility.
+ The normal work routine involves no exposure to human blood, body fluids or tissues. However, exposure or potential exposure may be required as a condition of employment. Appropriate personal protective equipment will be readily available to every employee.
