The Intake Specialist I will answer the KKI central referral line and gather and document patient clinical, demographic, and insurance information. This person represents the Institute as a key point of contact for external and internal customers and will provide prompt, courteous customer service to all callers.
Responsibilities1. Answer incoming calls to the KKI central referral line; reply to written requests for information and/or appointments from patients, families, external referral sources, and KKI employees.
2. Obtain and document patient clinical, demographic, and insurance information in AS400 and Intake Form on the KKI Intranet.
3. Search for and document previous appointments or requests for services by internal/external referral sources.
4. Communicate with appropriate staff for approval or appropriateness of referral. Follow up with staff and complete all documentation. Finalize the intake by communicating disposition to family and/ or referral source.
5. Create appropriate referrals for appointments to be scheduled in IAMS.
6. Schedule appointments with the Care Center and/ or Clinic Coordinators based on Clinic Policy. Assure that this process is complete and that appointments have been entered in IAMS.
7. Notify Clinical Care Associates of any critical information regarding appointments, insurance, referrals, Letters of Guarantee, etc., as needed.
8. Check all documentation for grammar, spelling, accuracy and completeness.
9. Maintain daily log of intakes done including: number of calls, types of callers, durations of calls, etc.
QUALIFICATIONS:
• Must be proficient with use of MS Office Suite, including Word and Excel.
• Familiarity with scheduling-related software.
• Individual must demonstrate competence across all age groups due to the diversity of the children and families served by KKI.
• Clinical care focus is on the neonate, pediatric, and adolescent populations, as well as some adults with disabilities.
EDUCATION:
AA/AS degree preferred or equivalent college credits in Business or related area.
EXPERIENCE:
1-2 years of full-time employment in a health care setting.
