Interim Executive Assistant (Mid - Senior Level)

This experienced Executive Assistant will provide comprehensive and proactive support to the Global leader of Sustainability & Risk, Global head of Digital Services & Global Director of Marketing. This includes providing a variety of PA, administrative and project management duties for these Global leaders. This role will require engagement with senior ERM leaders within the organisation with little contact to external organisations.
Key Accountabilities & Responsibilities:
Diary and schedule management
Providing full diary management.Meeting and call organisation, including documentation, agendas, excel spreadsheets and presentation material as well as meeting attendance, taking and distributing minutes and managing progression of agreed actions.Proactively and effectively managing email correspondence (reading all emails, responding, deleting and archiving where appropriate) with key senior internal and external stakeholders.Organising complex multi-city, and multi-country conference calls across global time zones with internal and external stakeholders.Supporting meetings and travel
Managing global travel bookings, visa and passport applications.Booking restaurants, taxis, couriers and venues.Completing personal and credit card expense reports.Adhering to internal risk assessment procedures including completing travel risk assessments, individual Health & Safety Plans, etc.Providing analysis and support for projects
Salesforce support.SharePoint site management.Communications and presentation development.Data analysis and presentation.Ad-hoc administrative support to the wider communications and sustainability teams.Desired skills & Experience:
Extensive experience providing personal assistance to senior leaders within an international company.A background in professional consulting services is preferable but not essential.Degree educated or equivalent.Digitally savvy and proficient in MS office suite programmes (Outlook, Excel, PowerPoint, Word, SharePoint, PowerBI) and Adobe Acrobat.Excellent communication and numerical skills.Demonstrates a personable and flexible attitude. In this role as you may on the odd occasion be required to work after hours or across different time zones.Demonstrates good time management and ability to prioritise and multi-task.Demonstrates a positive, “can-do” attitude.Gains confidence and trust of others.Learns and develops from experience and other people, adapts appropriately to new situations.Possesses enthusiasm, self-motivation and drive for results.Promotes collaboration.Achieves good execution and follow through.Core skills and leadership capabilities include those reflected in the ERM Career Framework
