Reporting to the Portfolio Management Office Lead within the Portfolio Management Office, IHDS Portfolio Optimisation and Execution Organisation, the Portfolio Office Manager is responsible for activities that are central to the successful running the portfolio, which are based on Lean Portfolio Management principles.
Working in conjunction with the Portfolio Leads and Product Managers, the Portfolio Office Manager will have direct responsibility for epic decomposition, refinement and story mapping activities across the IHDS and cross portfolio in preparation for Intake and Delivery activities.
In collaboration with the Portfolio Management Office Lead, the Portfolio Office Manager will also have responsibility for leading the activities surrounding our cross portfolio governance meetings, which includes building the portfolio backlog, collating information for decks, setting up and support of the meetings, with facilitation responsibility for certain meetings, ensuring links and dependencies to the portfolio backlog are identified and maintained, circulating minutes and tracking actions.
This is a Band 4 role where the successful candidate will be someone who has experience of working with both business and technology partners, preferably in the Health Insurance arena, and who has experience of working in a change/project/PMO environment. The successful candidate will also have experience of running epic decomposition activities and story mapping/process mapping workshops and facilitating multi-person workshops – virtual and in person – to drive the desired outcome, with experience of documenting and socialising outcomes. Another important aspect of their area of responsibility will be in helping stakeholders with navigation of the intake and prioritisation processes.

Position Description & Responsibilities:
Facilitating meetings and activities surrounding epic decomposition, including liaising with Epic Owners and Product Managers, assessing attendees, meeting set-up, facilitating, documentation and action follow-up.Prepping for and facilitating cross-portfolio ceremonies such as the Cross Train Delivery Sync and the Cross Portfolio SyncBuilding and maintaining the portfolio backlog, including links and dependenciesWorking with the PMO Lead to produce content for various ceremonies relating to portfolio health, including the Business Prioritisation Forum.Facilitating meetings where necessary in the absence of the PMO LeadWorking with Portfolio Leads and other stakeholders to navigate and educate on our portfolio processes.Working with the Portfolio Leads, product Managers, Intake team and Epic Owners on epic decomposition pipeline, ensuring all pre-requisite activities are carried out ahead of decomposition.Working with Epic Owners to ensure completion of Lean Business Cases ahead of hand-over to delivery.Attributes
