Job Details The Inventory Specialist is responsible for overseeing and managing the inventory of pharmaceuticals and medical supplies within the hospital pharmacy. This role ensures that the pharmacy is adequately stocked with medications and supplies to meet patient care needs while maintaining inventory accuracy and efficiency. The specialist will collaborate with pharmacy staff, vendors, corporate supply chain, and hospital departments to optimize inventory processes and manage stock levels. A key component of this role is the knowledge and management of the 340B Drug Pricing Program to ensure compliance and optimize savings. Additionally, the Inventory Specialist will be proficient in Kit Check RFID tagging and tray management, and will work closely with the Director of Pharmacy on cost-saving initiatives, shortage management, and monthly usage and cost reporting. Responsibilities: Inventory Management & Procurement: Oversee the inventory levels of medications and other pharmaceutical supplies to ensure availability and prevent stock outs. Order medications and supplies from approved vendors, in coordination with the corporate supply chain team, to maintain optimal stock levels. Track the receipt and storage of pharmaceutical products to ensure they are handled according to regulatory and department protocols. Manage and monitor product expiration dates and ensure timely removal and returns of expired medications. 340B Program Management & Compliance: Ensure compliance with the 340B Drug Pricing Program, including proper tracking, reporting, and documentation of eligible drugs. Collaborate with the pharmacy management, corporate supply chain to maximize 340B savings while maintaining proper inventory levels. Track and report 340B inventory transactions, ensuring all eligible medications are purchased at discounted rates and appropriately documented. Assist in audits and maintain accurate records for 340B compliance. Kit Check RFID Tagging & Tray Management: Utilize Kit Check RFID technology for accurate medication tracking of medications for kits and trays. Manage tray setups for the pharmacy department and ensure efficient replenishment and tracking of inventory within trays. Work to improve inventory accuracy and streamline tray management processes by leveraging RFID tagging. Stock Auditing & Reconciliation: Perform regular inventory counts and reconciliation to ensure accuracy and identify discrepancies. Maintain accurate inventory records. Report inventory discrepancies or issues to pharmacy management and work on corrective actions. Vendor Relations & Order Management: Establish and maintain relationships with vendors to ensure timely delivery of pharmacy supplies. Collaborate with vendors to resolve issues related to order discrepancies, damaged products, or delays in delivery. Work with corporate supply chain and pharmacy leadership to monitor and assess vendor performance for the best pricing and quality of products. Cost Savings Initiatives & Shortage Management: Collaborate with the Director of Pharmacy to identify and implement cost-saving initiatives related to inventory procurement, stock management, and medication usage. Work with pharmacy leadership to develop strategies for managing medication shortages and ensure the availability of critical drugs. Monitor inventory usage patterns to identify opportunities for reducing costs and minimizing waste. Usage & Cost Reporting: Assist with reports on inventory levels, medication usage, 340B savings, cost trends, and ordering patterns. Assist in analyzing cost data and usage reports to support budget forecasting and financial planning for the pharmacy. Provide accurate and timely reports to pharmacy leadership on inventory status, savings, and cost-saving initiatives. Requirements: Education: High school diploma or equivalent required Associate's degree (Healthcare, Business or a related field) preferred Licensure/Certification: PTCB or NHA Certification required New York State Pharmacy Technician License Required Skills, Knowledge or Abilities: Strong knowledge of the 340B Drug Pricing Program and its requirements. Previous experience with Kit Check/ RFID tagging and tray management Experience with pharmaceutical inventory systems and software is preferred Proficient in Microsoft Office Physical Requirements: Ability to lift and move up to 25 lbs. periodically. Ability to stand, walk, or sit for extended periods during inventory tasks. Salary Range USD $27.09 - USD $40.63 /Hr. This range serves as a good faith estimate and actual pay will encompass a number of factors, including a candidate’s qualifications, skills, competencies and experience. The salary range or rate listed does not include any bonuses/incentive, differential pay or other forms of compensation that may be applicable to this job and it does not include the value of benefits.
