Job Summary

Information and Technology Services (ITS) is looking for a Project and Administrative Coordinator to join the Project Management Office with in ITS. The Project and Administrative Coordinator under general direction, will provide general administrative support to the Chief of Staff, participate in and manage small projects, exercise considerable discretion and independent judgment, and be capable of analyzing complex information requests.

This position reports to the Information and Technology Services (ITS) VPIT-CIO Chief of Staff and IT Project Management Office Director.

An essential team within ITS, the CIO Project Management Office (PMO) is dedicated to overseeing and supporting the successful execution of technology projects across the university. The PMO ensures that projects align with the university's strategic goals and are completed on time, within budget, and to the required quality standards. By employing best practices in project management, the PMO provides structure, processes, and tools to guide project teams through initiation, planning, execution, monitoring, and closure phases. The office also facilitates communication and collaboration among stakeholders, manages risks, and promotes continuous improvement to enhance project outcomes. Through these efforts, the ITS PMO plays a crucial role in advancing the technological capabilities and operational efficiency at U-M.

Responsibilities*

Administrative Support 

Plan, coordinate, and implement logistical aspects of small and large scale departmental eventsProvide administrative support to the Chief of Staff Organize and Coordinate IT needs/requirements for special meetings and eventsPrepare and/or edit confidential correspondence and reportsRelated duties, as assigned

Project Coordination

Generate regular reports, presentations, or other documents as assignedAssists Intermediate and Senior project managers in the implementation of project management process improvements, project deliverables, and other tasks as delegatedDocument and manage the schedule of small to medium projects featuring milestones and dependencies.Utilize schedule management tools such as MS Excel, MS Project, SmartsheetFollows the basic project management standards of holding a weekly project status meeting and sending out a weekly project status report.Drive the resolution of action items.With guidance, has the ability to identify resource needs and  coordinate progress for individual responsibilities/tasks on small to medium projects

 Modes of Work

Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment. Learn more about the work modes.

Additional Information

Salary Information
 

The salary range for this position is $58,000 to $62,000. Salary is determined by direct relevant experience and demonstrated past performance results while ensuring equity on our team.
 

This position must be in the office at least once weekly and on other days as necessary. Specific days in the office will be determined with your manager.

A remote work agreement is required and will be reviewed and updated at least once every 12 months.
