Position Description:
The role of the IT Project Coordinator is to support the planning and execution of projects within the Enterprise Project Management Office (EPMO) according to success criteria, agreed upon deadlines, and within budget. This includes interviewing stakeholders and gathering and compiling user requirements to understand the solutions they need, risk analysis and identification, and coordinating and managing the efforts of team members and third-party resources to deliver projects according to plan. The IT Project Coordinator will also assist in ensuring business outcomes are achieved through change management and communications.
Position Qualifications:
Formal Education & Certification
University degree or college diploma or 4+ years of related experience. Certifications in Certified Associate in Project Management, ProSci Change Management Certification, PBA: Professional in Business Analysis, CCBA: Certification of Competency in Business Analysis or similar a preferred.
Knowledge & Experience
1+ years' direct work experience (internships or full-time) in a project management and/business analyst capacity. Strong familiarity with project management software, such as MS Project. Competent and proficient understanding of IT Information Systems. Solid working knowledge of current Internet technologies. Technically competent with various software programs, such as MS Office, ERPs, CRMs, etc.

Essential Duties:
Business Requirements Analysis
Collaborate with project managers and project sponsors to determine project scope and vision. Clearly identify project stakeholders and establish user personas, as well as their characteristics. Conduct interviews to gather user requirements through workshops, questionnaires, surveys, site visits, workflow storyboards, use cases, scenarios, and other methods. Identify and establish the scope and parameters of requirements analysis on a project-by-project basis to define project impact, outcome criteria, and metrics. Translate conceptual user requirements into functional requirements in a clear manner that is comprehensible to developers/the project team. Work with stakeholders and the project team to prioritize collected requirements. Research, review, and analyze the effectiveness and efficiency of existing requirements gathering processes and develop strategies for enhancing or further leveraging these processes.
Project Management
Intake project scope, goals, and deliverables that support business goals in collaboration with EMPO Project Managers and stakeholders. Assist with interpretation of user requirements into feasible options and communicate back to stakeholders. Assist in defining project success criteria and disseminating to involved parties throughout project life cycle. Plan and schedule project timelines, milestones and resources needed to achieve project goals. Conduct project retrospectives and create a recommendations report to identify successful and unsuccessful project elements. Assist project teams in developing appropriate project plans consistent with EPMO standards. Track and report on project milestones and deliverables to management and stakeholders. Identify and manage project dependencies and critical path. Proactively manage changes in project scope, risk and issues, and devise contingency and recovery plans.
Operational Management
Create process models, specifications, diagrams, and charts to provide direction to developers and/or the project team. Develop and conduct peer reviews of the business requirements to ensure that requirement specifications are correctly interpreted. Manage and track the status of requirements throughout the project lifecycle; enforce and redefine as necessary. Communicate changes, enhancements, and modifications of business requirements — verbally or through written documentation — to project managers, sponsors, and other stakeholders so that issues and solutions are understood. Liaise with project stakeholders on an ongoing basis; and effectively manage and communicate project expectations to team members and stakeholders in a timely and clear fashion. Provide administrative support for the IT Steering Committee (e.g. ensure backlog intake is complete, collect data from decision makers, etc.). Support continuous improvement of best practices and tools for project execution and management. Develop and deliver progress reports, requirements documentation, and presentations. Build, develop, and grow any business relationships vital to the success of the project. Assist in the monitoring and communication of ongoing project costs and expected delivery dates as well as benefits realization and track achievement of strategic goals. Support and assist in preparation of external project launch communication, change management and training.
