Overview The Joint Use Coordinator will play a pivotal role in managing the coordination of pole applications, submittals, and field note reviews for large-scale telecommunications fiber builds. This individual will ensure compliance with joint use agreements, assist in obtaining pole attachment permits, and support the planning, design, and construction teams in delivering fiber infrastructure projects on time and within regulatory requirements. The ideal candidate will be detail-oriented, able to handle multiple tasks simultaneously, and comfortable navigating a fast-paced, dynamic environment. Key Responsibilities: + Pole Application Management: + Coordinate and prepare pole applications for telecommunication fiber build projects. + Ensure proper documentation is submitted for pole attachment permits in accordance with local, state, and utility company regulations. + Coordinate with utility pole owners, municipalities, and regulatory bodies to facilitate the application and approval processes. + Submittal Review and Tracking: + Manage and track all submittals related to joint use, pole applications, and permits. + Maintain accurate records of submissions and approvals, ensuring that all timelines are adhered to. + Coordinate with engineering and construction teams to ensure submittals meet project specifications and requirements. + Field Note Reviews: + Review and interpret field notes from site surveys and inspections, ensuring they align with the project scope and specifications. + Work closely with field teams to ensure that site conditions and existing infrastructure are properly documented and communicated. + Collaborate with engineering teams to resolve any discrepancies between field notes and project designs. + Joint Use Agreement Compliance: + Assist in ensuring compliance with joint use agreements, including verifying utility space availability and addressing potential conflicts with existing infrastructure. + Work with stakeholders to resolve joint use conflicts and negotiate space sharing when necessary. + Stakeholder Communication: + Act as the primary point of contact for utilities, contractors, and regulatory agencies related to joint use pole applications and approvals. + Maintain effective communication with internal and external teams, providing regular updates on application statuses, approval timelines, and potential issues. + Reporting & Documentation: + Prepare detailed reports for management regarding the status of pole applications, submittals, and field note reviews. + Maintain comprehensive documentation of all project-related communications, approvals, and changes for future reference and audits. + Project Coordination & Support: + Work closely with project managers, engineers, and construction teams to ensure seamless execution of fiber build projects. + Provide logistical and operational support to ensure the timely completion of tasks associated with pole attachments and fiber installation. + Problem Resolution: + Identify and proactively resolve issues related to joint use pole applications, permits, and field notes. + Collaborate with relevant stakeholders to troubleshoot and find solutions to obstacles encountered during the pole attachment and application processes. Qualifications: + Experience: + Experience in joint use coordination, telecommunications infrastructure, or related fields. + Experience with pole application processes, submittal management, and field note reviews preferred. + Knowledge of local, state, and federal regulations concerning pole attachments and telecommunications infrastructure. + Skills: + Strong understanding of joint use agreements, telecommunication infrastructure, and fiber optic deployment. + Proficient in using project management software (e.g., Microsoft Project, Smartsheet, etc.) and standard office software (e.g., Microsoft Office Suite). + Excellent organizational skills with the ability to manage multiple tasks simultaneously and meet deadlines. + Strong communication skills, both written and verbal, for interacting with internal teams, contractors, and regulatory agencies. + Attention to detail and ability to identify discrepancies in documentation or field notes. Additional Requirements: + Ability to work in a fast-paced environment, adapt to changing project needs, and solve problems proactively. + Understanding of fiber optic network designs and infrastructure is a plus.
