General Statement The main function of this position is to act as a liaison between University Services and customers, providing a high level of customer service to faculty, staff and students associated with the requisition and issuance of keys used for access to campus buildings. This position also provides administrative support and specific data management to University Services. Duties and Responsibilities Receive, process, distribute, and track all campus keys for faculty, staff, students, and contractors, while maintaining accurate key records in the database program. Acts as a liaison between the locksmiths and all campus departments serving as the primary point of contact for questions regarding campus keys. Management of operational data such as weather, snow removal, waste and waste diversion, trades callout. Provide administrative support to the Administrative Manager. Act as the initial point of contact for visitors and callers to the Plew building. Represent University Services, Facilities Services, Engineering & Utilities, and the Planning, Design & Construction departments. Required Qualifications – Experience, Education, Knowledge & Skills Progressively responsible administrative work experience with an emphasis on customer service in a main office setting, or an equivalent combination of relevant education and/or experience. Demonstrated competence composing, formatting, typing and proofing grammar, punctuation, and spelling of business correspondence and general office materials. Demonstrated competence using personal computers and software, such as word processing, spreadsheets, electronic calendars, and email. Microsoft Office Suite preferred. Demonstrated aptitude organizing and prioritizing workloads, performing work in an organized manner, meeting deadlines, and the ability to manage multiple priorities while maintaining a friendly and professional demeanor. Demonstrated ability to interpret and apply a variety of guidelines and regulations. Preferred Qualifications – Experience, Education, Knowledge & Skills Successful experience in a first point of contact role, (ie. distribution of keys, answering phone calls, handling walk-in traffic, and directing a diverse group of constituents to appropriate information sources). Experience working with database systems. Experience scheduling meetings using Outlook calendars. The Successful Candidate Will Possess high customer service standards. The ability to establish and maintain effective working relations with co-workers, students, MSU employees, and the public. Communicate effectively both orally and in writing with administrators, faculty, staff, and students. Possess strong problem recognition and resolution skills. Possess a demonstrated attention to detail and a high degree of accuracy. Be able to work independently with minimal supervision. Effectively operate work-related equipment. Have an outstanding ability to anticipate the needs in an office/work setting. Show competence organizing/streamlining processes. Maintain confidentiality of records and information.
