Housing & Food Services (HFS) supports over 10,000 student residents and operates 40+ dining locations on campus. We challenge ourselves to engage in open dialogue, active listening, and empathic learning. **POSITION PURPOSE** Provide oversight of desk operations, including the supervision of student employees, at a regional desk that serves students living in the associated residential communities. **DUTIES AND RESPONSIBILITIES** Key Management and Occupancy Operations Leadership: + Maintain appropriate files and records, including floor charts, key records, check-ins, check-outs,room and hall changes, no-shows and vacates. + Coordinate room change processes including data management, offer coordination, administrativefunctions and policy advisement. + Compose and send out communications to residents, community managers, and other HFS unitsabout room changes, billing and occupancy information. + Submit and track work orders for rekeys, key replacements and building maintenance. + Submit charges in HMS for improper checkouts, rekeys, lost BACs and room change fees. + Coordinate desk functions with other units in HFS + Manage key inventory and building access to ensure building security and resident safetyDesk Operations Leadership: + Provide customer service to customers, residents and guests in residence halls. + Respond to inquiries regarding departmental procedures, policies, services, events and activities. + Prepare and maintain reports, forms and communications necessary for effective desk operations. + Plan, document and provide group and individual staff training. + Provide ongoing training to ensure that staff are updated on new and revised policies andprocedures that impact desk operations. + Monitor HFS systems, such as SharePoint, for content that relates/refers to Desk Services.Occupancy Supervisor: + Participate on unit, Department and campus committees and teams as assigned, including processimprovement initiatives and capital projects. + Provide coverage for other residence hall desks and areas of responsibility as needed. + Perform other duties as requested.Supervisory Responsibilities: + Direct supervision of up to 15-25 student employees. + Interview and recommend selection of applicants, conduct training, assign and schedule work, act upon leave requests, conduct performance evaluations for student staff, recommend disciplinary action as needed. + Provide guidance to student employees on requirements and/or opportunities for learning and development.Emergency Management: + Ensuring that desk areas have proper PPE and update staff with procedures regarding safety. + Maintain and update all resource materials associated with emergency preparedness plans. + Anticipate staffing needs and coverage during inclement weather or other emergency situations. **MINIMUM REQUIREMENTS** + Requires High School/GED AND five years of student services office or administrative support experience to include one year of experience as a full-time lead or supervisor OR an equivalent combination of education and experience. **DESIRED QUALIFICATIONS** + Direct experience working with residence hall desks and conferences. + Experience interpreting and communicating complex policies, procedures and agreements. + One year of experience working in an environment covered by Federal Education Rights and Privacy Act (FERPA). + Two years of experience working in a fast-paced customer service environment. + Demonstrated ability to work alone and as an effective team member. + Demonstrated experience using excellent oral and written communication skills with a diverse college/student population. + Proficiency with PC’s including Microsoft Office Word, Excel and Outlook, databases and the Internet. **CONDITITONS OF EMPLOYMENT** + A satisfactory outcome from criminal background verification is required prior to hire. + Membership in Service Employees International Union (SEIU) + Ability to work nights and weekends on occasion. **Physical Requirements** Ability to lift 40 pounds.
