Job Summary:

The Land Lease Coordinator provides customer service and manages administrative responsibilities for Union Pacific and third-party customers. This role is responsible for assisting signboard owners with visibility, maintenance, repair, and access issues, as well as geolocating all managed signboards.

                                                                                                    

Job Responsibilities

Guides and assists customers in providing accurate and complete information for sign applications.Works with railroad to address issues and/or concerns with sign applications.Works with customers to develop new locations, upgrade and/or maintain current locations.Manages administration; audits railroad files, verifying the information in the license is reflective of field inventory, scans and maintains electronic files for each license, add any additional documentation such as property issues, new agreements, approvals, rate changes, easements, etc.Identifies visibility issues and addresses as needed.Prepares mailing of percentage and base rent increase letters to customers, tracks receipt and files paperwork.Creates activity numbers and maintains a list of applications in process for tracking purposes.Prepares information to secure Right of Entry Agreements for new signboard construction, maintenance, and repairs.Ensures continuous improvement of procedures to assist with railroad workflow and maintains the list of Union Pacific files and inventory.Performs office administrative tasks; office maintenance coordination, security badge administration, parking, and fire warden liaison; answers main office calls and redirects as needed.Perform other duties as assigned.

Job Qualifications

Education and Certifications

Bachelor’s degree preferred, or equivalent combination of education, training, experience, or military experience.Accounting or real estate related certifications preferred.

Work Experience

Minimum three (3) years in a commercial real estate administrative support role.Previous leasing coordinator experience preferred.

Skills

Proficient in Microsoft software applications (i.e., Word, Excel, Outlook, PowerPoint).Ability to learn new systems with ease.

Physical Demands

Employee must have the ability to sit and/or stand at a desk for a minimum of eight (8) hours a day and complete tasks requiring repetitive use of hands.Employee must have the ability to lift and move items up to 15 pounds.Employee must have the ability to see written documents and computer screens, and to adjust focus.This job is performed in a temperature-controlled office environment.

Other Requirements

Able to travel outside of the office 20% of the time for client meetings, corporate meetings, and industry events.Access to a reliable vehicle and possess a valid driver’s license.
