Pinterest is hiring a world-class Lead, Executive Administration Business Partner to support our CEO in a fast-paced, high-growth public technology company. This is a role for a seasoned and exceptionally organized professional who is proactive, detail-oriented, sees around corners, and has high integrity and adaptability. This pivotal role involves executing a wide range of administrative tasks and responsibilities to ensure the CEO’s efficiency and effectiveness in leading the organization. 

 

What you’ll do:

Provide seamless CEO calendar management Keep CEO calendar current, with travel schedule up-to-date for the upcoming 1-2 months Anticipate needs, troubleshoot challenges, and look ahead for opportunities to optimize CEO time spent In partnership with the Office of the CEO, align CEO schedule with company operating rhythms and executive team schedules Proactively schedule large and complex meetings involving the CEO, ET, and/or external stakeholders Conduct quarterly calendar audits for the CEO to continuously enhance CEO productivity Manage CEO inbox with alacrity Flag important messages, e.g. from clients, board members, external stakeholders, etc. Forward messages / escalations as needed to relevant owners Act on behalf of the CEO when appropriate by responding to emails as agreed upon with the CEO and Chief of Staff Support CEO preparation for all engagements, in partnership with Chief of Staff and the Office of the CEO Ensure CEO receives meeting agenda and content Capture meeting notes and action items, as needed Ensure all aspects of CEO travel handled with meticulous attention to detail Coordinate and book all travel in collaboration with Corporate Travel and Physical Security teams Work in close partnership with Office of the CEO to ensure a productive and sensible itinerary Maintain high level of responsiveness and professionalism in all communications Ensure timely and accurate responses to all inquiries Maintain the highest level of confidentiality and discretion in handling sensitive information Provide in-person support for LA office and offsite events, all-hands meetings, or specific working sessions Submit accurate and on time expense reports, purchase orders and invoices for payment Manage CEO’s employee recognition budget Manage an EABP to support the CEO’s administrative tasks Provide leadership or coaching to EABP staff within the company, helping to support their professional growth and development

 

What we’re looking for:

12+ years experience as an executive business partner with progressive responsibility, including 6+ years supporting a CEO Experience supporting a CEO at a publicly traded company is a must, and ideally a high-growth technology company Experience working within an Office of the CEO is ideal Thrive in a fast-paced, growth-oriented environment, demonstrating adaptability and resilience Excellent writing, communication skills and interpersonal skills Proficiency with G Suite, Slack, Workday, or Expensify is advantageous but not required  Team-oriented experience, with demonstrated ability to collaborate effectively with other administrative staff and departments Is proactive, acts with urgency, and takes ownership over challenging, ambiguous tasks  Impeccable organizational and time management skills with the ability to multitask and prioritize effectively under pressure Bachelor’s degree in a relevant field such as Business Administration or equivalent experience. Ability to handle confidential information with integrity

In-Office Requirement Statement:

We let the type of work you do guide the collaboration style. That means we're not always working in an office, but we continue to gather for key moments of collaboration and connection. This role will need to be in the office for in-person collaboration 1x/week and to support the CEO locally, and therefore needs to be located in Los Angeles.

Final salary is based on a number of factors including location, travel, relevant prior experience, or particular skills and expertise.
