Lead Executive Administrator

As a Lead Executive Assistant at Honeywell, you will provide administrative and organizational support to Executives in the commercial areas of the enterprise.  In this role you will operate in a fast-paced environment interacting daily with internal employees, Honeywell Executives and external customers, suppliers and contractors.  This role will plan travel, coordinate multiple calendars, ensure complex meetings are planned effectively, and carry out other key administrative businesses processes.  This role manages confidential and sensitive information and manages with a high sense of urgency.

This is a hybrid role, 3 days at the office + 2 days work from home model.

Role is open in two locations: Bucharest and Prague.

Key responsibilities

Manage the calendar and operating system for the CCO Europe and the Commercial leadership team and proactively prioritize and organize time using expert professionalism, sound judgement and extreme discretion.Arranging intricate and detailed travel plans and forecasts international travel. Anticipate needs, last minute and urgent changes of travel agendas, meetings and coordinate with third parties.Organizing, facilitating and coordinating large scale meetings and events across different geographies. Note taking and documenting official meetings.Arrange onsite meetings for visitors and greet scheduled visitors (executives, prospective employees, customers, suppliers etc).Handling highly confidential and private information.Manage complex expense and purchasing reports, preparing other miscellaneous reports/logs, and handling general information requests.Arranging conference calls and global meetings.Paying bills and ordering supplies.Performing office management functions including maintaining files, managing incoming and outgoing mail.Work closely and collegially with other Executive administrators to coordinate calendars and meetings.Follow up on activities, Management Operating System and due datesPrepare basic presentations, reports and spreadsheetsTravel for certain events internationally, when required

Key skills and qualifications

A minimum of 3 years of experience providing administrative support to Senior Executives in a multinational corporationDemonstrated experience scheduling appointments, updating calendars and coordinating global travelExperience in overseeing and developing othersEnglish language fluencyProficient computer skills including mastery of Microsoft Office Suite The ability to present ideas effectively both verbally and in writing.A desire and comfort level in managing competing priorities in a fast-paced environment.Excellent time management and prioritization skillsPro-active planning and organizational skills.Self-motivated and displays initiative to solve problems and create improvements where needs existDetail orientation to ensure high quality work, thoroughness given sensitive nature of the workHigh level of dependability and integrity in ensuring confidentiality is maintainedHigh energy level, work ethic, and passion to excel
