Lead Support Specialist

Freese and Nichols is seeking a Lead Support Specialist in our Tampa office to manage a team of support specialists in Florida and manage the administrative function supporting the company at various levels.

Responsibilities include:

Maintaining organizational structure for support services team for the Florida division by recruiting, selecting, and developing employeesDeveloping staff by communicating job expectations, managing workload, evaluating and recognizing job performance, providing conflict resolution, and ensuring team lives out company valuesEvaluating training needs and planning career development for staffEncouraging creativity and creating a team environment which promotes collaborationSetting goals, deadlines, and delegating projects  based on needs of the businessOverseeing procedures to improve day-to-day operations; streamlining processes and overall functions of the teamSupporting regional leadership, assisting Division Manager with day-to-day tasks such as calendar management, meeting logistics, and coordination of events for regional/office/group operationsMaintaining consistent communication between Technical Group Managers and the Division Manager to ensure support needs are met throughout the region and any issues that arise are resolved promptlyDeveloping a strategy and implementing actions for continuous improvement for support services, and assisting in development of content for company-wide Technical Excellence Program for Support Specialists, focusing on best practices and technical areasImproving or developing standard operating procedures throughout the region’s front desk operationEnsuring that the company’s policies are being followed and that our offices are operating safely and efficiently within the region’s core scope of responsibilityMaintaining regular communication and training with various corporate groups to stay up to date on processes and proceduresAssisting in overseeing special projects supporting company initiatives and tracking progress towards company goalsAssisting in providing additional corporate level support tasks for the Executive Vice PresidentSupporting multiple company-level functions such as serving on committees, meeting coordination, events, travel, meeting document preparation, etc.

QualificationsAssociate's degree required (experience may substitute degree)10+ years' experience in an administrative support role (education may substitute experience)7+ years' experience in an executive support roleFlexibility to travel to various FNI office locations, when required

Preferred

Bachelor's degreeExperience with Architecture, Engineering and Construction (AEC) or consulting firmsWorking knowledge of software such as BST, Cosential, Concur, Bluebeam and/or Adobe Suite
