JOB SUMMARY
The Lease Administrator is responsible for addressing routine administrative issues related to the Company’s real estate portfolio. The lease administrator works with the Company’s accounting, treasury, legal and finance departments, as well as landlords, tenants, vendors, and other third parties. The lease administrator maintains the real estate lease administration database, abstracts legal documents, reconciles operating expenses, assists accounting with real estate payments, issues reports, and answers questions and provides information regarding the Company’s real estate portfolio.
ESSENTIAL FUNCTIONS
Manages the day-to-day administration of leases, including data entry and tracking lease terms and all real estate legal documents. Reviews and abstract leases and other legal documents. Processes and maintains all pertinent real estate data in the Company’s lease administration database. Tracks critical dates such as lease expirations and options. Manages internal critical date reminder systems and reports. Processes and assists accounting with all real estate invoices including but not limited to rent, percentage rent, operating expenses, and year-end operating expense and Consumer Price Index adjustments. Processes simple lease renewals and terminations. Conducts “desks top audits" to reconcile rent, common area maintenance, real estate tax, insurance, and other periodic and end-of-year expense adjustments. Administers the Company’s third party leased or subleased properties which includes reviewing legal documents, invoicing tenants, collecting lease income, forwarding lease income to accounts receivable, and issuing delinquent rent notices on unpaid balances. Processes change of address notices, estoppels, subordination, non-disturbance and attornment agreements, assignments, insurance certificates, lease renewal and termination notifications, as well as other miscellaneous real estate documents and requests. Manages the collection of the Company’s real estate receivables and tenant improvement allowances. Assists treasury in real estate compliance audits and sale lease back transactions. Arranges third party access to leased and owned properties. Generates standard and develops ad hoc reports utilizing the real estate lease administration database software. Performs other related duties as assigned.QUALIFICATIONS
Bachelor’s degree preferred. 1-3 years of lease administration experience. Strong organizational, interpersonal and communication skills. Proficient in Microsoft Word, Excel and Power Point. Experience with lease administration software, Lucernex preferred.
