LEASING MANAGER
Overview The Leasing Manager is responsible for coordinating the total leasing effort and implementing an integrated marketing program designed to maximize the number of apartment rentals at the property. Responsibilities The Leasing Manager conducts all business in accordance with Gates, Hudson & Associates, Inc., established policies and procedures, all Federal, State and Local Fair Housing Laws, American with Disabilities Act, and all other laws pertaining to apartments. The Leasing Manager provides assistance to the Property Manager in all aspects of operations required accomplishing the property objectives as set forth by the Regional Manager and the property owner. Personnel Prepare weekly/monthly office work schedule for Manager’s approval. Oversee leasing staff and ensure quality leasing procedures and customer service. Train new leasing consultants and retrain/redirect existing leasing staff. Meet with the rental staff weekly in “Leasing Team Meetings” to discuss sales techniques, and critique the property’s performance, and provide motivation to staff. Act as a liaison between management and leasing staff. Help ensure proper communication at all levels concerning rental activity and the marketing needs of your property. Review weekly and monthly goals with supervisors. Administrative Ensure leases and lease packages are accurate prior to resident signing. Maintain control of the applicant qualification process and approve or disapprove applications in accordance to established Gates Hudson guidelines. Assist the Manager in meeting all reporting deadlines and maintaining an activity calendar to ensure that tasks are completed. Assist the Manager in maintaining all office files and records in accordance with Gates Hudson’s policy and standard business practice. Provide clerical assistance such as typing, filing, writing of reports, answering telephones, closing out daily reports, etc., Leasing Ensure a professional, yet friendly atmosphere in the leasing office and other areas where prospects and residents meet. Ensure model apartments are clean, properly lighted, accessorized and the temperature is comfortable. Ensure the entire tour route to all common area, outdoor recreational facilities, landscaping, laundry room, parking areas, etc. are in perfect condition. Walk rent readies and check on the status of the vacant units to ensure there is a suitable number of rent ready units and partially accessorized mini model units. Review morning Vacancy Status Report for accuracy and completeness. Review prospect guest cards to ensure they are completed to allow proper follow-up. Ensure follow-up calls are made and thank you cards are mailed to all unclosed qualified prospects. Review closing Activity Worksheet for proper completion and documentation. Review shopper’s reports with leasing staff to help upgrade techniques. Establish weekly incentives as a motivational tool. Create a chart or board to track results on a daily basis. Discuss results/rewards with staff weekly. Review pricing policies and “deal makers” with the leasing staff. Marketing Review for accuracy of all advertising on a weekly basis or as necessary. Shop competition monthly and be aware of neighborhood market conditions. Promote resident and business referral programs as established under company guidelines. Contribute ideas to the Property Manager for marketing property and improving resident satisfaction. Resident Relations/Resident Retention Support and assist in resident retention measures as provided by Gates, Hudson and Associates, Inc., policy prior to and for new move-ins, ongoing, etc., (Measures include Welcome Packets, New Review all notices to vacate to determine the cause for move-out. Make sure every attempt is made to save potential move-outs. Implement Management’s policies and procedures regarding lease obligations, House Rules and Regulations, etc. Qualifications High School degree or equivalent certification required. Must have 2-5 years experience in Property Management. Landlord/tenant, ADA, and Fair Housing Law Ability to work independently and also as a productive member of a team. Ability to organize and coordinate work efficiently, set priorities, and motivate others to do the same. Must have a strong background in customer service. Operate telephone, personal computer/keyboard, Microsoft Office including Word and MS Outlook, community software. Experience with using Yardi, CRM and Rent Café is preferred.
