Leave of Absence Administrator
Job Description

Summary 

The Leave of Absence (LOA) Administrator is responsible for assisting LOA Case Managers with administrative duties, including the sorting and processing of both incoming and outgoing mail, processing state-specific leave employer statements, assistance with sending documents related to the Company’s LOA Management Process as well as providing additional support for case managers. 

 

Essential Functions 

Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. 

Receives, sorts and scans all incoming mail before distributing it to the relevant case manager or attaching it to the appropriate Team Member’s leave record 

Completes and submits all paid leave employment verification and responds to related inquiries 

Prints and mails all outgoing Leave of Absence-related paperwork for the entire team 

Assists with projects for both the Leave Team and the greater Total Rewards team as needed  

Assists in the facilitation of the LOA Management Process; including the Family Medical Leave Act (FMLA), the Americans with Disabilities Act (ADA), Uniformed Services Employment and Reemployment Act (USERRA), and other leave types required by federal/state law and company policy for assigned business units. 

Communicates with Team Members requesting LOAs regarding the eligibility requirements and documentation needed for LOA approvals.        

 

Position Requirements:  

Strong verbal and written communication skills  

Strong Organizational skills 

Ability to understand policies and laws and to apply this knowledge appropriately 

Ability to maintain good relationships and work across functions and departments to best support our team members 

 

Supervisory Responsibility 

Individual Contributor 

 

Education and Experience 

One to three years of experience at an administrative level required. Experience with leave of absence administration and/or employee relations preferred. 

Some knowledge of applicable state and federal employment and labor laws and governmental compliance requirements, especially ADA, FMLA, and USERRA preferred. 

Some experience with Workday or a similar HRIS software, as well as Office software and platforms is required.  

 

Work Environment 

This role is on-site based in Roanoke, VA. This role routinely uses standard office equipment such as computers, phones, photocopiers, and fax machines.

While performing the duties of this job, the employee is regularly required to talk or hear, and type. This is largely a sedentary role though some walking and standing is required. 

 

Position Type and Expected Hours of Work 

This is a full-time position. Days and hours of work are typically Monday through Friday, 8:00 a.m. to 5 p.m. ET, but there may be situational flexibility based on the needs of the business.
