This position is a subject matter expert that is responsible for leave of absence case management and possesses advanced knowledge of federal and state laws (i.e. FMLA, ADA), as well as local ordinances (i.e. Safe and Sick Time) and multiple collective bargaining agreements that govern leave of absence administration to ensure compliance. This role supports both employees and leaders with the overall leave case management for each case assigned, from intake to return-to-work and partners with the Accommodations Case Managers on the team for accommodations requests. Case management responsibilities require exercising discretion and professional judgment through the exploration of the individual nuances in each case to ensure compliance with legal obligations while delivering beneficial outcomes. The Leave of Absence Administrator partners with employees and leaders in consultation to educate them on the leave process and assesses the appropriate leave type and determines eligibility for job protection and pay based on the request and employee entitlements. Responsibilities also include the creation and maintaining of policies, accurate case files, including timely communications to the employee and leader throughout the case. This role partners with many stakeholders and independently determines when to engage these partners based on the support needs of the case. These stakeholders include payroll, benefits, labor relations, legal, medical providers, risk management, occupational health, and others. + Personally contributes to and invested in a team culture founded on respect for others, collaboration, openness to ideas, ownership of improvement, accountability and genuine appreciation of the individual talents of each team member. + Consistently creates a customer experience that is personalized with each interaction through the use of AIDET, which contributes to making meaningful human connections and moments that matter. + Committed to continually striving to solve challenges, enhance our work and elevating the experiences of those we serve through being curious, sharing ideas, and actively participating in implementing effective solutions. + Possess and maintains expert level knowledge of federal and state law, as well as local ordinances and collective bargaining agreements that govern leave of absence administration. + Maintains and reviews policies to ensure accuracy and remains current with knowledge of federal laws and state regulations. + Case management responsibilities require exercising discretion and professional judgment through the exploration of the individual nuances in each case to ensure compliance with legal obligations while delivering beneficial outcomes. + Works as part of an integrated team educating employees, employee's family members, and managers on leave policies and processes and state/federal regulations, as well as employee and manager responsibilities before and during a leave + As a subject matter expert, provide consultation and assistance to manager to identify and resolve absence management related issues. + Guides and educates leaders on leave of absence performance management. + Serves as a resource to employees regarding benefits and pay in relation to the leave type and employee entitlements. + Maintain knowledge of the time and attendance system to properly apply time off and pay codes. + Adhere to regulatory compliance, union contracts and pay policies. + Maintain knowledge of accrual plans offered to Fairview employees including PTO, Vacation, Sick and Medical Leave Bank. + Participates in the onboarding and orientation of new team members. + Maintain highly confidential employee Personal Health Information and files.
