Leave of Absence Coordinator
*_SUMMARY:_* We are seeking a *Leave of Absence Coordinator *to join our Benefits team. This full time role will work days (primarily remote). *Purpose of this position:*Serves as a subject matter expert and administrator in the areas of absence management, workers compensation and workplace accommodations. Responsible for evaluating and continuing to improve leave programs, including but not limited to: vended LOA policy and program, absence management, workers compensation and return to work. The leave of absence coordinator is able to make independent decisions in adherence to federal and state regulatory leave and accommodation laws, time and attendance reporting, benefit eligibility, LOA communications, LOA compensation including disability plans and time off accruals. Supports both employees and leaders with facilitating a return to work strategy for light duty work assignment and/or reduced work schedule. *_RESPONSIBILITIES:_* * Works as part of an integrated team to advise and educate employees about sensitive and confidential issues, and managers on leave polices and processes and federal/state regulations, as well as employee responsibilities before the leave, during their leave and return to work * Reviews report of work abilities (medical documents) to assist with finding light duty work assignments for employees with occupation and non occupational injuries * Partners with leaders and union representatives to find light duty assignments for employees * Review, evaluate track and monitor reasonable accommodations request form employees, medical providers, advocates and family members; and determine appropriateness for reasonable accommodations * Review, analyze and respond timely to cases that are assigned to the leave team * Manages the daily operations of the leave vendor to ensure operations are running smoothly to include participating in weekly meetings and responding timely to inquiries * Collaborate with HR Business partners, Legal, Employee Relations an Executive leadership to identify assess and make decisions related to complex leave issues * Runs reports from the leave vendor to process leave pay. Partner with payroll * Process PTO Donations accurately each pay period * Review leave policies to ensure compliance with federal/state laws * Collaborates with Hennepin County, EOHW and Safety to administer Workers Compensation claims * Works with legal counsel in managing mitigated claims * Reviews and responds to the emails in the LOA inbox * Researches and responds to employee and leader questions in a concise, accurate, professional and timely manner, using sound judgment * Facilitates comparable job analysis and position reassignment for hospital personnel * Reviews leave and accommodation solutions to ensure complying with federal and state law * Possesses detailed levels of knowledge about state and federal leaves and accommodations laws * Approves or denies requests for MN /sick leave in an effective and efficient manner in accordance with leave of absence policies * Processes and maintains records of all status changes affecting eligibility for leaves of absence * Plans and manages LOA education initiatives for both employees and leaders * Lead collaboration with other departments to create systems and problem solving ongoing issues that impact employees’ leaves of absences * Maintains highly confidential employee Personal Health Information and files *QUALIFICATIONS:* */Minimum Qualifications:/* * Bachelor Degree * Five (5) years of human resources experience, including experience in leave of absence administration and ADA accommodations -OR- * An approved equivalent combination of education and experience */Preferred Qualifications:/* * Previous experience in a healthcare organization and/or union environment preferred */Knowledge/ Skills/ Abilities:/* * Knowledge of HR guidelines and procedures, leave of absence and disability laws and employment law * Excellent organizational, prioritization and multi-tasking skills * Ability to manage significant caseload with strong working case resolution skills * Ability to communicate effectively, verbally and in writing, with employees, HCMC leaders and external providers * Proficient in HRIS systems, Microsoft Office products including Excel, Word, and PowerPoint * Working knowledge of payroll and benefits functions * Ability to anticipate potential problems, determine and implement solutions * Strong coaching skills.
