Job Description

We are seeking a dynamic, remote Legal Administrative Assistant to join a team of word processing, proofreading and administrative support staff located in our Phoenix, Arizona service center.

Schedule: Monday-Friday, 2pm - 10pm MST (will adjust with daylight savings). 

As a Document Processor/Administrative Support Specialist, you will provide real-time assistance to clients in support of their time-sensitive project requests on your designated shift. You will work together with a team of individuals across multiple locations and shifts in an effort to provide the highest level of customer service and quality. This is a challenging and rewarding position within our organization, supporting a prestigious law firm.

 

Proofread complex legal documents for proper firm style, consistency, spelling, syntax, punctuation and grammar using proper citation protocols (The Chicago Manual of Style, The Bluebook and the California Style Manual)Perform word-for-word reading of converted documents against originals to ensure accurate conversionsPerform cross-reference checks and defined term checksReview tables of authorities as requestedCheck corrected proofs against markup to ensure all corrections were made accuratelyCheck formatting for consistency and adherence to client specificationsUse standard proofreading marksCreate, edit and format legal documents to firm specifications using a variety of software applicationsConvert, clean and format documents to/from different file formatsCreate charts, graphs, tables and spreadsheets as requestedCreate and/or edit Tables of Authorities and Table of ContentsPerform data entry utilizing various software applicationsTranscribe digital dictation filesRestore/recover corrupted document files as necessaryComplete all assigned jobs by deadline in an accurate and timely mannerFollow established policies and procedures at all times

QualificationsHigh school diploma or equivalent required; bachelor's degree preferred5+ years' experience in legal administrative assistant or paralegal roles preferredStrong knowledge of MS Office programs (Word, Outlook, Excel, PowerPoint) Experience in legal word processing tasks such as proofreading, creating TOAs and TOCs, inserting automated cross-references, converting PDFs to Word, applying Word styles using macros, troubleshooting problem documents preferredAbility to work through complex legal document markups and instructions accurately and timely preferredPrioritization of various requests and deadlines simultaneouslyStrong written and verbal communication skills, including proficiency in English grammar, spelling, and punctuationProven ability to perform complex work under strict deadlinesExceptional attention to detailProfessional and respectful interaction with clients and team members at all times

Additional Information

The rate of pay for this role at the noted location is $44,400 - $78,800 annually. 

In addition to base pay, depending on the role, the total compensation package may also include [a sign-on bonus of $2,000], overtime, shift differential, call-in, and stand-by pay.
