The position is for a Legal Administrative Specialist.
THE POSITION
Assisting with coordinating on-site meetings, appointments, and travel arrangements for staff.Assisting on-site clients or visitors, providing information, and addressing inquiries or concerns.Overseeing daily office operations, ensuring a smooth workflow.Assisting team members with administrative tasks.Assisting with on-site cross-departmental projects or initiatives as needed.Identifying areas for improved efficiency and implementing new administrative processes in the office.Addressing and resolving on-site administrative issues or concerns as they arise.Supporting various projects by providing administrative assistance, research, and coordination.Providing overall administrative support to the team, in particular, in matters concerning the Regulatory Governance & Compliance Department.Reviewing and distributing incoming correspondence, new cases and support tickets.Organization and coordination of meetings of the decision-making bodies.Support in the production of public reports and documents.Assisting in the constant modernization of processes and the implementation of new digital tools for all processes.Providing support in the gathering of data and statistics in collaboration with other members.Administration and coordination of financial requests.Assisting with the organization of events.Working on various projects within the Subdivision.
The specific competencies we require for this position are:
Accuracy and detail orientation, combined with a pragmatic approach when solving problems.Ability to lead and manage a team, constantly striving to improve efficiency and quality in the team performance.Fluency in English and French required.Critical judgement: ability to separate essential issues from side-issues.Solution orientation and innovation skills, with great ability to embrace changes and new technologies and processes.Excellent communication skills, both written and oral.Ability to work under pressure: commitment to deliver high-quality outputs in a timely manner.Staying power (tenacity, ready to work long hours, working under pressure).Well-founded legal or project management knowledge. University degree an asset.Working competence in Spanish is an asset.Proficient in MS Office package (Word / PowerPoint / Excel / Outlook).
