Description We are offering a long term contract employment opportunity for a Legal Administrator in Boston, Massachusetts. As a Legal Administrator, you will be tasked with a range of responsibilities within the legal industry, including document management, court filing, invoice processing, and event coordination.
Responsibilities:
• Efficiently handle document management tasks using FileBind and Sharepoint for expenses
• Prioritize and execute accurate court filing of documents within set deadlines, with knowledge of Pacer, File & Serve and Odyssey being beneficial
• Process vendor invoices as well as those from third parties
• Scan, copy, fax, file and organize legal documents and other mailings in a timely manner
• Aid in the coordination of events and preparation for in-house client meetings
• Organize registration for attorneys for conferences, speaking engagements or webinars
• Oversee the maintenance of attorney bar information, including accounts, payments, and applications
• Implement efficient calendar management and schedule travel arrangements as needed
• Prepare expense reports as and when requested Requirements • Proven experience in the role of a Legal Administrator or similar legal office role.
• Proficiency in managing calendars effectively, including scheduling appointments and meetings.
• Experience in handling vendor invoices, including processing, recording, and tracking.
• Demonstrated ability in arranging travel logistics, including booking flights, accommodations, and arranging local transport.
• Strong skills in document management, including filing, archiving, and retrieving legal documents.
• Previous work as a Legal Assistant or similar role, with a strong understanding of legal terminologies and procedures.
• Excellent organizational and multi-tasking skills.
• Strong written and verbal communication skills.
• Proficient in using office software such as Microsoft Office, particularly Excel and Word.
• Ability to work under pressure and meet deadlines while maintaining attention to detail.
• Discretion and respect for confidentiality and privacy.
