We are seeking a skilled Legal Administrative Assistant to provide top-notch administrative support to attorneys and serve as a vital liaison to clients. Key Responsibilities:
+ Legal Administrative Support: Serve as a vital point of contact, ensuring seamless communication between attorneys and clients while addressing administrative needs.
+ Client/Matter Management: Initiate client/matter openings, perform conflicts checks, and coordinate the preparation of engagement letters.
+ Calendar & Deadline Management: Proactively monitor attorney calendars to anticipate and coordinate upcoming deadlines, implementing follow-up procedures to ensure timeliness.
+ Document Handling: Create, edit, revise, redline, and proofread legal documents with precision.
+ Time Entry Management: Accurately enter attorneys’ billable time, ensuring compliance with firm policies, proofread for accuracy, and apply the appropriate task codes.
+ Docket Coordination: Assist in reviewing the daily docket and work collaboratively with attorneys and paralegals to manage critical deadlines.
+ Billing Process Support: Oversee monthly proforma distribution, review and edit proformas, and handle client billing with related correspondence.
+ File Management: Maintain client files in both electronic and hard copy formats while ensuring prompt organization within document management systems.
+ Mail & Communication Tasks: Process and route incoming and outgoing mail, including electronic communications, packages, and shipments.
+ Expense & Vendor Management: Process reimbursement requests, check requests, and vendor invoices efficiently and accurately.
+ Meeting & Travel Coordination: Schedule attorney meetings, secure conference rooms, and manage travel logistics, including flights, hotels, and rental cars.
+ CLE Record Management: Track and maintain attorney Continuing Legal Education (CLE) records, including seminar registrations and reporting.
+ Administrative Task Delegation: Delegate administrative assignments to Department Administrative Assistants as needed.
+ Client Service: Deliver a high level of professionalism and customer service to both internal teams and external clients.
+ Other Duties: Perform additional responsibilities as requested to support the team and the broader organizational goals.
Requirements
Qualifications:
+ Proven experience in an administrative or legal support role, preferably within a law firm or corporate legal department.
+ Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines efficiently.
+ Strong attention to detail and ability to handle confidential information with discretion.
+ Excellent communication skills, both verbal and written, to interact effectively with attorneys, clients, and team members.
+ Proficiency in Microsoft Office Suite, document management systems, and billing software.
+ Ability to work both independently and collaboratively in a fast-paced, deadline-driven environment.
