Job Description THE SELECTED CANDIDATE WILL BE OFFERED A SALARY BETWEEN $47,418 - $54,531. *THIS POSITION IS ONLY OPEN TO CANDIDATES WHO ARE PERMANENT (NOT PROVISIONAL) IN THE CIVIL SERVICE TITLE OF PRINCIPAL ADMINISTRATIVE ASSOCIATE* Under the supervision of the Article 10 Office Manager, the Principle Administrative Associate I is responsible for tasks including: - Train and assistant staff on the completion of statutorily required PH notices to all parties on all cases and data entry in LTS. - Provide high-level administrative support to the Borough Chief, the Deputy Borough Chiefs, the Case Assistant Manager, and staff Attorneys, by conducting research, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings. - Generate PH notices to all parties from LTS/address envelopes for mailing. - Assist with entry of new cases and case-related information into the Legal Tracking System. - Files Extension of Supervision (EOS), Extension of Placement (EOP) petitions on JD and Voluntary petitions active with the court and enters those petitions in LTS. - Prepare attorneys file folders for court by accessing, printing, and compiling documents such as petitions, UCRs, Court Orders, and other documents from UCMS. Also, prepare attorney calendars for court. - Enters closed cases in WITS system and prepares files with complete case identification for warehouse pickup. - Receive and respond to inquiries from caseworkers regarding information on cases in LTS. - Process Permanency Hearing notices received from Foster Court Agency and Court sources, by addressing, mailing envelopes, and completing Affidavit of Mail Service to serve summons by mail. - Work closely with FCLS attorneys, managers, legal case assistants and borough scanning teams and provide feedback to attorneys and managers on missing or incomplete orders. - Create and update organizational charts for the office using VISIO monthly. A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or 2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or 3. A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above; 4. Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.
