Legal Assistant
Description We are looking to add a Legal Assistant to our team operating in the Energy/Natural Resources industry in Houston, Texas. As a Legal Assistant, you will be responsible for a wide range of tasks including contract management, internal and external reporting, invoice processing, and administrative duties. This role offers a long-term contract employment opportunity. Responsibilities: • Collaborate with department assistants and paralegals to manage and administer databases related to contract management and corporate transactions. • Prepare, format, and refine PowerPoint presentations for reporting on legal matters, based on input from department attorneys. • Handle the processing of invoices in an efficient and timely manner. • Engage in varied, complex, and highly confidential legal and corporate work. • Respond to correspondence, initiate inquiries, secure information, review, analyze and summarize documents and information. • Prepare correspondence, reports and spreadsheets based on input from Legal Department attorneys. • Review drafts of correspondence, transactional documents and contracts and other documents for accuracy, summarizing variances for evaluation by attorneys. • Organize, categorize, index, and maintain documents, materials, and files as necessary. • Coordinate the collection and organization of company and third-party documents and information in connection with business transactions, as well as monitor and communicate critical dates. • Assist in coordinating Division workflow and transactional matters with the Managing Counsel to ensure compliance with internal controls and consistency in handling of overall management of contracts and other transactional matters. • Coordinate meetings, schedules and travel arrangements and perform other administrative duties. • Provide other legal and administrative support as required including matters related to Legal Department SharePoint site, contract management and other computer software programs supporting the overall department function. • Contribute to optimizing processes and increasing efficiencies within the department. • Be resourceful in accomplishing work tasks and obtaining needed information. • Develop a basic understanding of the business, including proficiency in the functions of the department. Requirements • Proficiency in using Aderant, Adobe Acrobat, Automated City Register Information System (ACRIS), and Case Management Software • Familiarity with CompuLaw and experience in performing billing functions • Ability to manage calendars and administer claims effectively • Demonstrable skills in client relations and communication • Previous experience as a Legal Assistant in the Energy/Natural Resources industry • Knowledge and experience in handling legal assistant tasks and responsibilities • Excellent written and verbal communication skills • Strong organizational skills and the ability to manage multiple tasks simultaneously • High attention to detail and problem-solving abilities • Ability to work independently and as part of a team • Demonstrated commitment to maintaining confidentiality and handling sensitive information with discretion.
