Description
A reputable South Bay is in search of a diligent Family Law Legal Assistant to become to join their team. Situated in San Jose, the role entails providing comprehensive administrative support to attorneys and paralegals in our Family Law Practice Group. The Legal Assistant will be tasked with managing client matters, maintaining organized workflows, and ensuring the accurate preparation and formatting of legal documents.
Responsibilities:
• Efficiently manage the opening and closing of client matters according to firm and practice group policies and procedures.
• Communicate with clients and other parties electronically or by phone under the direction of assigned attorneys.
• Assist in the creation, formatting, proofreading, and editing of various documents including administrative correspondence and litigation documents.
• Schedule and reserve dates for hearings with the California Family Court and maintain attorney calendars.
• Organize exhibits, documents, evidence, briefs, and appendices for hearings, trials, and meetings.
• Monitor and assist attorneys regarding the status of receivables.
• Manage incoming mail processes: copying, scanning, naming, and filing mail for attorneys, calendaring dates and determining next steps based on the content of the correspondence.
• Coordinate attorneys’ travel arrangements, including booking airfare, hotels, and any other necessary arrangements.
• Register attorneys for professional, business development, and continuing education events.
• Assist with attorney timekeeping, as well as invoice reviewing and processing.
• Maintain client and administrative files in accordance with firm policies and procedures.
Requirements
• Minimum of three years of experience as a Family Law Legal Assistant
• Proficiency in Calendar Management and organizing schedules
• Extensive knowledge of Family Law and related legal principles
• Experience in preparing, reviewing, and filing Litigation Documents
• Proficiency in managing Electronic Files and databases
• Experience in creating and managing Tables of Contents (TOC) for legal documents
• Excellent written and verbal communication skills
• Ability to work in a team and independently
• Strong attention to detail and organizational skills
• Knowledge of legal terminology and court system
• Proficient in Microsoft Office Suite (Word, Excel, Outlook) and legal software applications.
