Legal Assistant
Description We are on the search for a Legal Assistant to become a part of our team based in Wheaton, Illinois. This role involves performing various administrative tasks, ensuring smooth operations within our legal firm. The ideal candidate will be adept at utilizing technology to automate processes, maintaining a positive attitude under pressure, and managing multiple deadlines in a fast-paced environment. Responsibilities: • Perform a variety of administrative tasks including preparing client correspondence, making copies, and faxing documents. • Exhibit excellent phone skills to handle customer inquiries and issues. • Act as the primary point of contact for clients and visitors, ensuring a detail oriented and friendly interaction. • Coordinate and schedule all client appointments, ensuring efficient time management. • Handle office correspondence, including incoming and outgoing mail, ensuring timely and accurate distribution. • Maintain and manage office supplies, placing orders as needed. • Utilize Microsoft Word and other software to perform data entry tasks and manage support functions. • Track deadlines and coordinate the master calendar to ensure all tasks are completed on time. • Greet and guide visitors, providing outstanding customer service. • Perform other tasks as assigned, adapting to new responsibilities and assignments as necessary. Requirements • Demonstrated proficiency in handling inbound calls • Proven ability in calendar management and scheduling appointments • Proficiency in using Microsoft Word and Microsoft Outlook • Experience in data entry and managing databases • Ability to distribute incoming mail and manage correspondence efficiently • Strong organizational and multitasking abilities • Excellent communication and interpersonal skills • Prior experience in a legal setting would be advantageous • Familiarity with legal terminology and procedures preferred • High attention to detail and accuracy • Ability to maintain confidentiality of sensitive information • Self-motivated with the ability to work independently and as part of a team.
