Legal Operations Specialist
A Day in Your Life at MKS: As a Legal Operations Specialist at MKS, you will be a key member of the Legal Department with responsibility for administering the company’s global contracts management system and other legal technology tools and driving continuous improvement in the operation of such tools and related processes. You will also be involved in activities related to the department’s training programs, data management, and various legal operations initiatives. You will play a key role in optimizing the department’s efficiency and effectiveness by leveraging technology and best practices in these areas. In this role, you will report to the company’s Director, Legal Affairs.You Will Make an Impact By: + Working directly and independently with Legal team members and with individuals across all businesses and departments of the company globally, to support the company’s success + Administering the company’s global contracts management system, including but not limited to: + Configuring and maintaining data fields, approval workflows, document templates, and automated alerts; + Enhancing data quality by auditing contract records for accurate completion of contract data, completion of approvals, proper activation of records, and proper tracking of the contract lifecycle; + Building reports, analyzing data, and developing and reporting on key contracting metrics to stakeholders to inform strategic decisions; + Developing training materials, user guides and FAQs, conducting user training and providing user support; and + Serving as primary point of contact with vendor on technical support needs. + Participating in development and continuous improvement of contracting processes to enhance efficiency and compliance. + Assisting in the creation of, releasing and tracking legal and compliance training courses, including: + Configuring courses utilizing the company’s training content tools and learning management system (LMS); + Coordinating translations of training content; + Configuring and releasing training campaigns in the LMS; and + Monitoring training completion, analyzing and reporting on training metrics. + Assisting in outside legal spend tracking, analysis and reporting and in department budgeting activities + Assessing the department’s data management needs, and evaluating, implementing and maintaining proper data management tools and practices; + Identifying opportunities to streamline processes and improve efficiency of the department; and + Performing all other duties related to the department’s legal operations activities as assigned. Skills You Bring: + Minimum of a bachelor’s degree + 3+ years of in-house legal operations experience, ideally with experience specifically in contracts management systems + Proficient in various legal technology solutions (i.e., e-billing, matter management) + Strong analytical skills and attention to detail + Strong understanding of common contract provisions, contracting processes and other legal processes + Independent and critical thinker who exercises good judgment + Outstanding verbal and written communication skills and interpersonal skills + Strong team player with a willingness to take on additional responsibilities + Demonstrated initiative and ability to work in a fast paced, changing environment and flexibility to various changing working conditions based on priorities + Tech savvy, with excellent computer skills using Microsoft 365 applications (i.e., MS Word, Excel, PowerPoint, SharePoint and Teams) and a variety of SaaS-based tools.
