The Intellectual Property (IP) team in the BD Law Group is seeking a Legal Specialist to partner with and support IP professionals in the management of the BD IP portfolio and IP litigation. The position is located in Franklin Lakes, NJ and regular in-office presence is expected under a hybrid office/home arrangement.
Responsibilities
Within the IP Management System, manage invention, patent and other records, including opening, maintaining, and updating records, understand and execute IP workflows, and perform tasks.
Develop various standard and custom IP reports in the IP Management System, analyze and summarize IP data, and advise IP professionals accordingly.
Coordinate and communicate with outside counsel, internal inventors, external inventors and other stakeholders to support patent prosecution, including preparing various patent and legal documents, obtaining electronic or wet signatures, and seeking out any other necessary information.
Prepare for and assist IP professional in facilitating patent committee meetings, including preparing presentations and agendas, scheduling, taking meeting minutes and tracking and managing action items.
Support IP Litigation activities including developing and maintaining regular IP Litigation reports, managing IP Litigation calendar, and coordinating meetings.
Run patent searches and research patent or other public information on third parties, in support of diligence activities or other needs.
Within the Legal Tracker Billing System, open, update and maintain billing records, assist IP professionals in managing and maintaining budgets, and develop budget reports.
Assist R&D function with IP incentive award data and manage any unique incentive award issues.
Partner with IP professionals to assess IP training needs, prepare presentation and course materials, and manage all training logistics, including scheduling, location, and attendees.
Manage and direct special projects and assignments as required.
Provide miscellaneous administrative support such as scheduling meetings and booking travel.
Education and Experience
High School Diploma Required. Bachelor’s degree preferred.
At least 5 years of experience across areas detailed under Qualifications.
Prior experience supporting intellectual property or other legal function is a plus.
Qualifications
Strong process orientation, data management, research, analytical and reporting skills.
Experience using legal software systems such as IP management systems, document management systems and legal billing systems (Anaqua and Legal Tracker experience preferred).
Advanced proficiency in Office 365 applications, especially ability to create high quality, professional presentations, and communications suitable for executive audiences.
Strong communication and meeting facilitation skills.
Superior attention to detail.
Demonstrated ability to use sound, independent judgment, and discretion.
