Job Description

We are seeking a bright and motivated individual to provide temporary contract management and administrative assistance in the Legal Department. This role involves offering administrative support for two attorneys and one paralegal, including basic calendar management and expense reporting. The position also requires organizing and performing centralized filing tasks, handling general office tasks, and engaging in legal administration and processing, such as case management, routing documents, tracking deadlines, conducting research and analysis, drafting correspondence and memoranda, and assisting with the litigation process.

ResponsibilitiesAssist attorneys and paralegals with various administrative tasks, including scheduling meetings, depositions, and court dates using internal trackers and team Outlook calendars.Take minutes during weekly team meetings and circulate follow-ups and to-dos.Order and coordinate delivery of legal files from storage for attorney and paralegal review.Scan old documents and perform OCR for review.Draft, review, and format legal documents such as pleadings, motions, and correspondence, including cease and desist letters, letters of indemnification, and responses to demand letters.Maintain filing systems and ensure proper documentation and archiving of case files, keeping the Litigation Mailbox correspondence up to date, updating and sorting Box folders, and maintaining the Quip Master Litigation list with new and noteworthy updates.Organize the Settlement Folder with executed settlement agreements (binder, e-files, legal files, ACT, Excel).Conduct legal research using online databases and summarize findings, researching matters, attorneys, and cases upon service of process to provide summaries for attorneys and paralegals.Compile and organize factual information relevant to cases, anticipating and collecting documents from relevant business units for discovery purposes.Act as a liaison between clients, attorneys, outside counsel, and external parties.Send correspondence on behalf of attorneys as needed.Manage new matter setup and intake, entering new litigation matters in ACT and Our Client Matters, updating the Quip Master Litigation list, creating Box Folders and subfolders for each matter, linking them to the Litigation Mailbox (Outlook), linking Litigation Mailbox folders to iManage, creating New Matter Memos, and entering new matters in Content Manager.Track deadlines, manage calendars, and ensure timely follow-up on pending matters by entering and tracking all matter deadlines on the Quip Master Litigation Calendar and Outlook calendars, and sending timely follow-ups a week before due dates.Assist in the discovery process, collecting relevant documents, reviewing them for privilege and responsiveness, Bates-stamping and redacting documents as needed, watermarking responsive video footage, setting up cloud links for sharing with outside or opposing counsel, and collaborating with Consilio for initial document collection and review.Assist in preparing trial materials, including exhibits and presentations, creating physical binders with tabs for trial materials and exhibits as needed.Manage and organize both physical and electronic case files, maintaining hard copies of as-served documents and wet-ink settlements, in addition to the electronic filing system.Manage all legal ground/physical mail addressed to the Legal Department, overseeing the Company's Unsolicited Submissions responses, acting as the primary contact for all unsolicited submissions, coordinating with the studio's unsolicited response owner, ensuring customized responses are crafted when necessary, involving attorneys as needed, and accurately logging all unsolicited responses in the submissions log.Monitor and order office supplies as needed.Assist with technology setup for meetings and presentations.Essential SkillsLitigation experience with 1 - 2 years of relevant legal experience.Proficiency in Microsoft Excel and Microsoft Word.Strong written and oral communication skills.Ability to work efficiently and independently, managing high volumes of tasks and projects with little guidance.Ability to react with appropriate urgency to situations and events that require a quick response or turnaround.Creative problem-solving skills and proactive attitude.High level of professionalism, integrity, and discretion in handling confidential information.Ability to work well with people at all levels inside and outside the company.Additional Skills & QualificationsPassion for the entertainment and legal worlds.Desire and aptitude for learning new concepts on the job.2+ years experience as a legal administrative assistant, or a paralegal certificate or degree.Client-service orientation and great attention to detail while meeting tight deadlines.Great organization skills and ability to easily switch gears.Familiarity with legal vocabulary seen day-to-day.Work Environment

This position requires working onsite five days per week. The standard work hours are 40 hours per week, typically Monday to Friday from 9 AM to 6 PM, or similar hours. The role offers great exposure to the entertainment industry, including legal work involving movies and TV. It provides an opportunity to gather documents from executives working directly on major movies and shows, offering great visibility into the organization and the entertainment business. There may also be opportunities to work with Hollywood agents for movie stars.

Pay and Benefits

The pay range for this position is $24.00 - $24.00
