Summary:
Reporting to the Director of Nursing Operations this position facilitates the requirements of the regulatory and accreditation standards that govern the licensing and required certifications of both nursing and other relevant employees at Rhode Island Hospital and Hasbro Children�s Hospital. The position requires a background with working knowledge of licensing and certification requirements for the professional and paraprofessional staff.
Responsibilities:
Checks position requirements of newly hired nurses and other relevant employees to determine the required license(s) and/or certification(s).
Remains current with state nurse licensing requirements through the state Boards of Nursing.
Maintains awareness of updates and changes to licensing and certification requirements through the appropriate governing bodies including but not limited to the AHA for BLS PALS and ACLS.
Communicates any changes in licensing and/or certification requirements to appropriate leaders who supervise affected personnel. Remains current with certification requirements through the appropriate governing bodies including but not limited to the AHA for BLS certification PALS and ACLS.
Collaborates with Human Resource partners to ensure that new employee licensing and required certification information is entered into the Human Resource database timely and with accuracy prior to the employee�s start date.
Conducts follow-up with leaders as needed with issues regarding licensing and required certification from the time of hire through end of employment.
Performs timely and accurate scanning data entry and/or entry validation of licensing and required certification information documented in the database.
Initiates and completes the primary source verification process within established time frames.
Responds to verification requests as received and compares the responses with the information provided by applicant to ensure accuracy and completeness.
Provides timely resolution of any verification problems/discrepancies in order to ensure timely completion of the verification process.
Conducts follow-up on missing data and/or discrepancies and other potential problems reporting to leadership when appropriate in accordance with established time frames.
Ensures that leaders remain informed of the status of the licensing and required certification process to ensure proper notification to the applicant.
Serves as a liaison with other internal/external customers as it relates to licensing or required certification related issues and concerns.
DATA MANAGEMENT RESPONSIBILITIES:
Maintains an electronic record/file for all practitioners within the Human Resources database giving attention to operational concerns and the need for others to retrieve the same records.
Maintains integrity of electronic specialized database which includes the entering/importing of practitioner information in accordance with departmental policies and procedures.
Utilizes appropriate database tracking reports to ensure accuracy and thoroughness of data entry documentation.
Documents interactions with internal and external customers as appropriate within the appropriate fields of the database.
Assists with the development and revision of the relevant workflows within the Human Resources database.
Maintains competency on vendor database via participation in online education learning modules and monthly skills related webinars.
Participates in the orientation of new staff members as assigned.
Performs other duties as assigned.

EDUCATION:
Associate�s degree in a health-related field required. Bachelor�s degree in a health-related field preferred.
EXPERIENCE:
Organizational skills required to handle high data flow and to prioritize tasks in order to meet cyclical deadlines.
Ability to manage demanding workload; self-motivated; and able to carry out responsibilities with minimum supervision.
Analytical skills necessary to determine whether correct and complete information was provided on applications.
Able to concentrate on tasks paying meticulous attention to detail.
Ability to manage multiple projects/tasks while ensuring appropriate follow-up is completed and deadlines are met.
Possesses ability to manage specialized database including production of reports covering the area of responsibility.
Adheres to professional confidentiality standards in accordance with legal ethical and departmental policies.

Communicates effectively and professionally with customers.
