The Atlanta office of Nelson Mullins Riley & Scarborough LLP is currently seeking a Litigation Administrative Assistant to join an established National Litigation Team. This position provides a wide range of administrative and clerical support to a legal team in a fast-paced environment. The ideal candidate for this position is organized, detail-oriented, professional, and committed to helping us meet our clients' needs.

A Day in the Life

The responsibilities of this position include maintaining both electronic and paper files using the NetDocs file management system. The candidate will be tasked with drafting, formatting, editing, and proofreading various legal documents such as letters, pleadings, discovery, and other related materials. Filing documents electronically in the court system for both state and federal courts will be a key function, along with downloading files from state and federal court systems. Analyzing pleadings, orders, and other court filings is another important aspect of the role, as well as logging and processing all docketing requests using the Firm’s docketing software, VisionSQL/CompuLaw. The candidate will be responsible for opening and reviewing incoming mail, handling phone calls and client emails in a professional manner, and scheduling conference calls and meetings using Microsoft Teams and Outlook.

 

Additionally, the role involves inputting attorney time entries, assisting in the preparation and distribution of client bills, monitoring accounts receivable, and supporting clients with payments. Maintaining attorney calendars in Microsoft Outlook and preparing and processing expenses for assigned attorneys and the paralegal coordinator will also be part of the role. Other duties include performing initial conflict checks, opening and closing client matters, preparing engagement letters, and managing attorney travel arrangements, including booking and organizing all necessary travel details.

We Know You

The ideal candidate will have a minimum of 3 to 5 years of experience in product liability, personal injury, or commercial litigation, with a solid track record in both federal and state courts. Strong analytical, multi-tasking, and problem-solving skills are essential for success in this role. The candidate should also be familiar with legal billing guidelines and have experience in sending client invoices. A proactive approach, combined with initiative, resourcefulness, and self-direction, is key. Attention to detail and exceptional organizational skills are necessary to manage multiple tasks efficiently.

 

The role requires an excellent work ethic and the ability to work effectively under time-sensitive deadlines. Outstanding written and oral communication skills, with a keen focus on spelling and grammar, are crucial. Advanced proficiency in Microsoft Word, Excel, and PowerPoint is required, along with strong technology capabilities and a willingness to learn and utilize various computer programs.
