Location Services Specialist

Description We are on the lookout for a Location Services Specialist to join our team in Chicago, Illinois. In this role, you will play a key role in managing office operations and ensuring the smooth running of the location. You will interact with various stakeholders, handle vendor relationships, and strive to improve office processes. Your role will also involve handling customer inquiries, maintaining customer records, and processing applications.
Responsibilities:
• Manage office operations and provide day-to-day support to ensure efficiency
• Interact with building management vendors, internal and external clients, and other support services personnel
• Assist in coaching Location Services staff and provide expertise to prevent building system failures
• Support in daily operations, including answering a multi-line telephone system, directing callers, greeting visitors, and alerting appropriate parties of visitor arrival
• Oversee Location Services projects such as moves, repairs, cleaning, conference room preparation, meeting and event coordination, and pantry supply maintenance
• Coordinate with vendors and building management on life/safety and repair items, escalating and providing status updates when necessary
• Streamline and improve inefficient processes, manage ordering and maintaining inventory, and process payments
• Maintain vendor relationships and meet with the Supervisor or Manager to track and analyze total spend as it relates to the budget
• Investigate cost-efficient ways to upgrade or replace failing building systems and advise the Supervisor or Manager of necessary projects
• Provide routine direction and support in areas such as mail services, distribution, and facilities maintenance Requirements • Exceptional Customer Service skills to interact with clients and provide outstanding support
• Proficiency in Office Functions, including managing files, maintaining equipment, and handling correspondence
• Advanced skills in Microsoft Excel for data entry, analysis, and reporting
• Experience in Payment Processing to handle client transactions smoothly
• Ability to perform Materials Handling tasks, including the organization and distribution of resources
• Understanding of Planning Processes to aid in the organization and scheduling of tasks
• Familiarity with Budget Processes, including creating, reviewing, and adhering to budgets
• Proficiency in Microsoft Word for creating and editing documents
• Experience with the 'About Time' software for efficient time tracking and management
• Strong Leadership Skills to guide team members and ensure the achievement of objectives
• Ability to perform Scanning tasks, including the digitization of documents and images
• Experience in Receptionist Duties including greeting visitors, managing calls, and scheduling appointments
• Ability to interact with Vendors, negotiate deals, and manage contracts
• Knowledge of Facility management, including maintenance and safety procedures
• Proficiency in Microsoft PowerPoint for creating engaging presentations
• Experience with Monitoring Tools to oversee processes and ensure optimal performance
• Basic Graphic Design skills for creating visually appealing materials
• Excellent Time Management skills to prioritize tasks and meet deadlines
• Ability to Execute tasks efficiently and effectively
• Exceptional Client Relations skills to build and maintain strong relationships
• Experience in providing Administrative Assistance, including scheduling, correspondence, and record keeping
• Ability to handle Upgrades, including software updates and equipment replacements
• Proficiency in Microsoft Office Suites for a wide range of administrative tasks
• Strong Research Analysis skills to gather and interpret data effectively
