Logistics Operation Coordinator (6 Month FTC)

We are seeking an Operations Co-ordinator to support the Warehouse Operations Function within the business for a 6 month FTC. The candidate will reinforce the operational team with regular information, reporting and management of the Warehouses. Updating relevant people and functions with latest performance information. Compiling and managing data and analysis according to business needs to ensure we deliver targets, maintain customer experience and support the HBUK logistics team

Managerial Responsibilities

\n\n

 

\n\n

· To cover and support the Operations Manager

\n\n

· To review and monitor any continuous improvement initiatives implemented

\n\n

· To be the lead coordinator for projects

\n\n

 

\n\n

Operational support

\n\n

 

\n\n

· Generate necessary shipping Docs for N.I and Jersey shipments.

\n\n

· Monitor daily deliveries to retail store and report all delivery failures.

\n\n

· Investigate and re-arrange store collection failures.

\n\n

· Oversee stock levels and shipments from the central warehouse and external suppliers, providing our partners with essential information to manage inventory effectively.

\n\n

· Control stock forecasts to ensure timely deliveries and optimal warehouse capacity.

\n\n

· Maintain strong communication with the 3PL to ensure all processes are in place.

\n\n

· Communicate effectively, providing updates and escalating critical or serious issues to your line manager and relevant internal teams as needed.

\n\n

· Follow stock processes diligently to minimize stock risk and ensure compliance in storage.

\n\n

· Support the Operations Manager and the wider team by acting as a point of contact to coordinate all shipments and resolve first-line queries and escalations.

\n\n

· Collaborate with the transport team to address POD queries and maintain logs promptly.

\n\n

· Monitor the inbound schedule for external suppliers to validate and close purchase orders at the end of the season.

\n\n

· Investigate and report hand over discrepancies between 3PL partners. Ensure continuous dialogue with the 3PL regarding any outbound issues and work towards finding resolutions.

\n\n

· Follow correct procedures for checking all systems for errors and alignment issues, resolving them promptly, and escalating to the appropriate points when necessary.

\n\n

 

\n\n

Project Support

\n\n

 

\n\n

· Be the lead coordinator for project related work

\n\n

· Report and coordinate system tests for IT upgrades

\n\n

· Run testing sessions and support with completing tests alongside operations team

\n\n

· Ensure all relevant team members and 3pl contacts are briefed on actions required

\n\n

· Inform team members of project progress and actions or decisions require

\n\n

 

\n\n

Reporting

\n\n

 

\n\n

· Compile daily data into weekly and monthly reports for KPI evaluation.

\n\n

· Retrieve reports from the in-house data system (BIS) weekly to consolidate information and enable management to monitor performance levels.

\n\n

· Report and reconcile invoices against orders and deliveries.

\n\n

· Gather and distribute short-term forecasts to relevant internal departments for weekly planning and resource meetings.

\n\n

· Ensure daily reports are received promptly, verify the data, and highlight any potential risks.
