Description We are offering a short term contract employment opportunity for a Mail Services Specialist in our Toms River, New Jersey location. This role will be centered in the administrative and operations industry, primarily in an in-person setting. As the Mail Services Specialist, you will be required to handle various tasks such as sorting and delivering mail, managing shipments, and maintaining office supply levels.
Responsibilities:
• Accurately sort incoming mail by department and ensure its timely delivery to the respective floors
• Handle outgoing mail and packages, applying appropriate postage and identification
• Take responsibility for the pick-up of mail from each floor
• Manage incoming and outgoing shipments via UPS/FedEx
• Ensure all received packages are correctly distributed on the same day or inform the consignee of next day delivery
• Conduct daily audits of supplies and replenish as needed
• Check delivered items against delivery invoices and approve or reject based on inspections
• Handle shipment requests with vendors, communicating the arrangements to the package owner
• Maintain the copy rooms and provide first response for copier fleet production needs, such as clearing jams and determining if a technician is required
• Ensure all shipped packages are adequately protected against damage. Requirements • Proficiency in Customer Service, demonstrating excellent communication skills in all interactions.
• Understanding of Operations, including shipping functions, production, and daily scheduling.
• Ability to manage Invoice and Audit tasks, with prior experience in Auditing being highly desirable.
• Familiarity with Microsoft Outlook and Microsoft Office Suites, showcasing advanced computer skills.
• Experience with vendor management and the ability to negotiate and interact with various vendors.
• Capable of managing Deliveries, including sorting incoming mail and outgoing mail.
• Proficiency in Scanning Documents, ensuring accuracy and efficiency in document handling.
• Willingness to work Onsite, adhering to the company's working hours and policy.
• Knowledge of Stocks and Replenishment, maintaining inventory levels as per requirement.
• Experience with FedEx or similar courier services would be beneficial.
• Ability to Sort Incoming Mail, ensuring all mail is distributed to the correct departments or individuals.
• Familiarity with Postage and the ability to Deliver Mail in a timely and efficient manner.
