Job Description

Primary Responsibilities:

The Maintenance Billing Coordinator is primarily responsible for reviewing and approving invoices from vendors and identifying invoices, and work orders that may be resident or vendor chargebacks.  

Skills & Competencies:

High level of understanding of work order management platform workflows and Intermediate Microsoft Excel knowledgeStrong written and verbal communication skills.Ability to prove critical thinking and problem-solving concepts.Ability to be courteous in demanding situations, quickly de-escalating animated customers on the phone or through written communications.Detail oriented, with the ability to produce high quality work in a deadline-oriented environment and an ability to multi-taskAbility to thrive in a high volume, data entry and processing work environment, when applicable

Essential Job Functions:

Primary Responsibilities: The Maintenance Billing Coordinator is responsible for validating invoices submitted by vendors prior to payment. In addition, the Maintenance Billing Coordinator is responsible for identifying, validating, and reporting on work orders and invoices that should be charged back to the responsible parties.Ensures that the invoice accurately represents the work completed by vendors by comparing the invoice to available pictures and other documentsVerify discrepancies in vendor submitted invoices to ensure accuracy in payment processing; research and assist in resolving invoice errorsAssist the maintenance team in various projects relating to invoices and resident and vendor chargebacks,All other duties as assignedContinuously improve customer service skills such as communication, active listening, and conflict resolution, through training and feedback.

Physical Requirements:

Capable of working extended hours, including evenings, weekends, and holidays as necessary. Able to see well enough to read faint or partially obscured writing or printing, with corrective lenses if needed. Must be able to speak English in a clear and understandable voice so that various types of communications may be conducted with people of various levels of education and capabilities, including the exchange and receipt of information over the telephone. Position involves sitting, standing, stooping, kneeling, pushing, shoving, lifting, carrying, and moving objects that can weigh up to 25 lbs. This movement can occur throughout the day. Must also be able to climb several flights of stairs if necessary. Must be able to interact with all types of individuals, be mentally alert, detail-oriented, and with good reasoning skills. Must be able to work in small and confined spaces for extended periods of time. Must have finger dexterity for typing/using a keyboard. 

Environmental Requirements:

Must be able to work on more than one assignment at a time with frequent interruptions, changes, and delays. Must be able to remain focused and work effectively, efficiently, and cheerfully under such circumstances. For safety reasons, employees must remain alert to working conditions and aware of safety, health, and environmental concerns. Must be able to work effectively and cheerfully in an environment that may be stressful due to adversarial situations resulting from the proper performance of duties. Must be able to work in the office as regularly scheduled.
