This position is responsible for supporting the Maintenance Department’s Operations, ensuring compliance with various policies and procedures, and facilitate smooth administrative processes to contribute to the effective functioning of the organization.

Responsibilities: 
1.    PM Management:
•    Daily release of Preventive Maintenance (PMs) from Oracle, printing, assembling, and distributing them to all Maintenance crafts, including PMs for plant wide Dust Collectors and overhead cranes.
•    Maintaining a list of repairs noted and completed per the PMs for reference and documentation.
•    Ensuring PMs are closed daily for all maintenance crafts:  maintain a systematic filling system for PM documents per Quality Department guidelines.
•    Tracking/updating PM completion charts for Maintenance crafts for managers’ review and decision-making.
•    Editing, updating, deactivating, and rescheduling Oracle PMs per requests by Manager and Supervision

2.    Payroll and Attendance Management:
•    Daily view, edit, and approve timesheets for 13 departments of hourly personnel in the ADP payroll system and back-up to the other 7 departments.
•    Follow and apply Company Attendance Policy and Pay Policies in ADP and provide applicable documentation.
•    Managing and maintaining records of hourly personnel, including updating both maintenance department and plant wide attendance data and generating attendance point balance reports, and issuing Attendance Warning documents.
3.    Material and Supplier Management 
•    Daily receiving shipping manifests from WDN and Monterrey facility on a timely basis and receiving all invoices for parts/services for all Maintenance departments.  Maintain filing system for invoices and storage.
4.    Charts and Reports Updates:
•    Weekly update of pareto charts, including Maintenance Materials costs, labor entry, downtime for specific equipment, overtime hours per craft, absentee percentage per craft (paid vs. unpaid) and PM Compliance, using PowerBI, data from ADP and Oracle.

5.    Toolbox Talks and Training:
•    Maintaining all training records for the maintenance departments, with particular emphasis on PCC Core Five training and weekly Tool Box Talks.
6.    Special Audits and Bonus Calculations:
•    Performing bi-weekly 6S Audits for the Maintenance administrative area.
•    Bi-yearly calculating the Attendance Point Balance for the IBEW hourly employees to determine the bi-yearly Attendance Bonus recipients.
7.    Administrative Tasks:
•    Entering requisitions for the Maintenance manager.
•    Maintaining a request log for pest control service and communicating pest issues from the plant
•    Managing the LOTO program and supplies for the maintenance department.
•    Managing the overhead and jib crane PM/Inspection program.
•    Maintaining Maintenance hourly employee personnel files.
•    Keep evacuation rosters for all maintenance departments updated.

Qualifications\Skills:
•    Proficiency in using ADP for payroll management and employee data handling.
•    Familiarity with Oracle for managing maintenance tasks, preventive maintenance (PM) schedules, and work order tracking.
•    Ability to use PowerBI for generating reports and analyzing maintenance data.
•    Adaptable and willing to handle diverse tasks.
•    Proficient in MS office including outlook, excel, word.
•    Ability to multi-task in a fast-paced environment
•    A minimum of 2-5 years relevant experience 
•    Four-year College degree or equivalent experience
